Position Purpose

The Admissions Assistant supports Enrollment Services by providing services to prospects, families and educators. The Admissions Assistant’s primary function is training, supervising and providing leadership to the student workers. The Admissions Assistant assists the admissions team by processing inquiries and applications, maintaining an organized office and communicating with prospective students and parents. This position also presents to and interviews prospective students and covers college fair conflicts as necessary.

Essential Functions And Basic Duties Office Management
  • Answers main phone line and transfers to appropriate contact
  • Prepares weekly labels and mailings
  • Checks, organizes and files incoming mail
  • Meters outgoing mail and brings to mailbox
  • Inputs, verifies and logs data for all inquiries via telephone, mail and email
  • Assigns work to student ambassadors
  • Organizes office supplies, and places supply orders
  • Fields questions via telephone, mail and email and tele-counsels prospects and applicants
  • Schedules appointments with prospective students for counselors
  • Checks faxes and posts information to student records
  • Makes copies and files
  • Conducts inventory of Admissions material monthly and replenishes out of stock items
  • Prepares travel bags for staff/faculty who cover conflicted college fairs
  • Prepares publications, packs boxes and sends via courier for distant travel of counselors
  • Scans documents
  • Forwards documents to appropriate offices
  • Manages Admissions Master Events calendar
Student Ambassador Supervision
  • Hires student ambassadors, telecounselors and special event tour guides for virtual and/or on campus event programs
  • Creates a training program for student ambassadors inclusive of, but not limited to:
  • Tour creation and training
  • Data Entry training
  • Office management training
  • Phone etiquette training
  • Special event training
  • Coordinates work schedules for student ambassadors
  • Assigns daily work to student ambassadors
  • Audits student ambassador work and provides ongoing feedback
  • Reports issues, challenges and triumphs to management
  • Provides annual performance evaluations to students
  • Meets weekly with student managers
  • Processes bi-weekly payroll
Preparation for Admissions On-Campus Events
  • Communicates via mail, email, phone and in person on-campus events to prospective students
  • Creates events and corresponding communication in Technolutions Slate
  • Reserves rooms for on-campus events and resolves any scheduling conflicts
  • Physically prepares tables and chairs by pushing, pulling and/or lifting
  • Prepares folders for visitors
  • Contacts vendors for on-campus events
  • Conducts confirmation calls to attendees
  • Sends thank you cards to event attendees
  • Submits budgetary requests for gift cards and other expenses
Applicant And Prospect Management
  • Compiles applicant information and builds applicant paper file
  • Processes and verifies applications: applying, accepting, enrolling, and canceling
  • Processes and verifying applicant letters
  • Fulfills prospect and applicant information requests
  • Updates database with all prospect and staff-initiated activities
  • Calls applicant files to follow up and keep current
