Overview

The Administrative Coordinator supports analytical, administrative, and operational tasks for the University Office of Student Financial Assistance (OSFA) within the Office of Enrollment Management  OSFA develops and administers policies, standards, and initiatives guiding University-wide student financial aid functions across 25 colleges and schools in NYC. OSFA plays a role in ensuring financial aid supports student access, equity, and success.

Responsibilities
  • Provide day-to-day administrative and logistical support to OSFA leadership, financial aid programs, and internal processes.
  • Assist in supporting University-wide financial aid programs and initiatives, including execution and tracking of Federal Work Study contracts, payroll coordination, and budget monitoring.
  • Conduct research and prepare reports and summaries on federal (Title IV), state, and institutional financial aid policies and practices.
  • Support the preparation, processing, and tracking of agreements, renewals, and invoices related to financial aid programs.
  • Maintain internal systems, databases, and budget documents to ensure accuracy and up-to-date records.
  • Coordinate logistics for internal and external meetings, assist in developing presentations, and support collaborative projects with campus partners and external stakeholders.
  • Serve as the first point of contact for inquiries, respond promptly, and escalate issues when appropriate.
  • Maintain and organize departmental records, correspondence, and documentation in compliance with university policies.
  • Assist with drafting office communications, updating website content, and proofreading materials for accuracy.
  • Support documentation of business processes and development of standard operating procedures (SOPs) for office workflows and student aid programs.
  • Perform other related duties and special projects as assigned.
Qualifications

MINIMUM

Bachelor's Degree required.

Preferred

  • At least two years of experience performing administrative, analytical, and/or operational work, preferably in higher education.
  • Demonstrated interest in or commitment to student financial services, equity in education, or strategic enrollment management.
  • Understanding of the role financial aid plays in student access, retention, and success.
  • Familiarity with CUNY's structure, systems, and academic/administrative processes a plus.
  • Strong attention to detail with proven ability to manage data, track deadlines, and maintain accuracy in a high-volume environment.
  • Excellent writing, editing, and proofreading skills, with experience preparing reports, summaries, or correspondence.
  • Strong interpersonal and communication skills, including the ability to work collaboratively and professionally with stakeholders at all levels.
  • Highly organized with the ability to prioritize multiple tasks, meet deadlines, and work independently or as part of a team.
  • Strong proficiency using administrative and financial systems, databases, and programs, Microsoft Office Suite programs, and familiarity with collaboration tools (MS Teams, Zoom, Web Ex, or similar software).

Compensation and Benefits

The salary range is $53,003 - 57,573, commensurate with credentials, education, and experience.

CUNY is implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 3.25% on 9/1/2025 and 3.5% on 9/1/26, in accordance with the PSC-CUNY collective bargaining agreement.
