About The Role
We are seeking a Legal & Compliance Operations Assistant to manage our contract life cycles and streamline our regulatory infrastructure. The ideal candidate is a process-driven professional who can oversee everything from entity filings and KYC requests to insurance renewals and fund launch exhibits. We need a proactive problem-solver who will not only maintain our contract database and billing accuracy but also evaluate and improve our operational systems to ensure scalability.
PrimaryResponsibilities
- Management of the contracts process, including coordinating contracts through our review and approval process, ensuring that all comments are closed out prior to execution, evaluating contract management systems, and maintaining the contract database, including preservation of negotiation history and markups alongside executed agreements
- Support corporate governance and entity management matters, including Secretary of State filings, registered agent coordination, LEI and EIN management, and related recordkeeping and invoice tracking
- Provide operational support for legal and compliance-related invoicing, including invoice processing, follow-ups, reconciliation support, and ensuring that third parties maintain accurate billing instructions and designated points of contact
- Assist with due diligence and compliance-related requests, including preparing initial drafts, coordinating information collection, maintaining repositories of standard responses, and supporting KYC documentation and entity-level correspondence
- Support fund launches and transactional initiatives by gathering, organizing, and maintaining exhibits, schedules, and supporting documentation in coordination with internal stakeholders and external service providers
- Assist with corporate insurance matters, including maintaining insurance summaries and policy repositories, tracking invoices and renewals, supporting renewal applications, and responding to ad hoc insurance-related requests
- Contribute to the ongoing evaluation and improvement of legal and compliance operational processes, systems, and documentation to support scalability, consistency, and efficiency
- Perform other legal and compliance operations support duties as needed
- 2 - 4 years of legal or compliance operations experience in a legal department, law firm, or compliance team
- Proficiency with Contract Management Systems (CMS)
- Entity Management & Regulatory Filings Knowledge
- Exceptional Project Coordination & Detail Orientation
- Experience and ability to handle KYC requests, invoice tracking, and billing instructions
- Proven track record of maintaining standard response repositories (like Due Diligence Questionnaires) where accuracy is non-negotiable
- Compensation: $100,000 - $120,000 + Equity
