Reporting to the Director of the Press and Business Manager, the Senior Department Assistant supports the Director by handling a wide range of duties. Primary responsibilities include entering invoices through Fin Pay and Fin Buy, submitting wire requests to AP, and preparing independent contractor paperwork for HR. The Assistant also processes author royalty statements, Concur credit card payments, and interdepartmental expense requests.
Additionally, the role involves recording credit card and check deposits, as well as wire transfers, in Quick Books.
- Scan and enter invoices through Fin Pay and Fin Buy.
- Prepare Independent Contractor paperwork to accompany invoices for submission to HR and Fin Pay.
- Submit wire requests to Accounts Payable.
- Process royalty statements and paperwork for authors receiving payments.
- Record Concur credit card payments, interdepartmental expense requests, and budget transfers.
- Enter credit cards, check deposits, wire transfers, and all expenses in Quick Books.
- Review entries on Fordham's Banner System to reconcile with Quick Books balances; run reports of a book's production costs to calculate unit cost.
- Prepare timely budget reports for the Director and the Marketing department and track the percentage of budget spent on all income and expense accounts. Assist the Business Manager with financial reports.

- Maintain files for paid bills, deposits, and accounts receivable.

Required Qualifications:Education and Experience
- High school diploma or equivalent required.
- Minimum of two years of experience in accounting, book publishing, clerical support within a higher education setting, or related experience.
Knowledge and Skills
- Mandatory competency testing.
- Strong technical skills in Microsoft Office Suite and Quick Books.
- Excellent organizational skills.
- Ability to maintain discretion and confidentiality.
- Demonstrated writing ability.
- Bachelor's degree.
- Experience in developing internal processing and filing systems.
- Minimum Biweekly Salary for All Others: $1,383.04
