Overview
SIFMA is seeking a New York-based Conferences & Events Associate to support the broader Conferences & Events department. This role requires a polished, professional team player who can prioritize and juggle assignments with tact, diplomacy, and strong office and interpersonal skills, and a passion for conferences and events.
Role Responsibilities- Maintain event calendar with emphasis on data management, member communications, and operational efficiencies.
- Coordinate and execute internal and external events throughout the U.S. in collaboration with the department.
- Serve as a secondary point of contact to the Assistant Vice President overseeing the Financial Management Society (FMS) and attend meetings as needed when the primary lead is unavailable.
- Act as lead coordinator for two education days, ensuring smooth planning and execution.
- Support in-person FMS meetings, typically held once or twice per year.
- Schedule internal team meetings and cross-site team meetings; coordinate shipping of event materials.
- Respond to inquiries in a highly professional, organized, and timely manner by phone and email for general conference questions and registrations.
- Manage registration inquiries, process and refund registrations, and produce registration reports.
- Collaborate with Meeting Strategists to create and maintain speaker letters, Power Points, websites, tent cards, and name badges.
- Create and manage detailed speaker, attendee, and hotel rooming lists in Excel.
- Develop and analyze feedback from post-event surveys.
- Ensure all assignments/projects are completed accurately and efficiently, with follow-through to timely actions.
- Produce accurate, properly formatted documents and reports under tight time constraints.
- Provide onsite assistance at conferences and events as needed.
- Establish and maintain effective professional relationships with all levels of management, staff, external agents, and companies.
- Proactively assist the EVP and team in completing responsibilities and addressing requests.
- Bachelor’s degree from an accredited university.
- 1–2 years of experience (corporate/association event experience is a plus).
- Excellent organizational, time management, written, and verbal communication skills.
- Strong project management skills with the ability to manage multiple concurrent projects on tight deadlines.
- Technical skills include full working knowledge of Microsoft Office Suite and Zoom; familiarity with database use and functionality.
- Proficiency in Excel and Cvent is required.
- Attention to detail and accuracy in proofreading.
- Ability to prioritize tasks/workload and anticipate conflicts.
- Flexible work schedule; occasional overtime may be required during busy periods.
- Commitment to superior customer service with internal management, staff, and outside clients.
- Strong work ethic: punctuality, effectiveness, persistence, and commitment.

Salary Range: $70,000 - $75,000
