The BH Admissions Administrative Assistant plays a key role in the Admissions team working to streamline the referral process and ensure clients’ efficient access to care and maintain data for intake and waitlists. He/she is often the initial point of contact for provider agencies looking to connect clients to TCCNY services, processing, documenting, and ensuring follow through on referrals.
Essential Functions- Lead support in processing referrals, flagging those from Priority Access locations and ensuring follow through with providers for all necessary clinical documentation.
- Monitor the admissions data system for delays in access to care.
- Liaison with referral sources, including 988 and crisis call centers, regarding referrals, access to care concerns, program questions, etc.
- Ensure the maintenance of accurate, complete and timely professional documentation in the agency data/tracking systems and Electronic Health Record (EHR), including client assessment and individual notes in compliance with all agency, city, state and federal regulations and standards of practice.
- Create, maintain, distribute and review admissions and program data, collaborating with leadership to address delays in access to care and/or patterns of concern.
- Provide additional support as needed for back up to billing, insurance verifications, and scheduling.
- High School diploma or equivalency.
- 2 years related experience.
- Proficiency in Microsoft Office.
- Superior typing skills (60-70 wpm).
While performing the duties of this job, the employee is occasionally required to walk, sit for long periods of time; use hands to finger, handle, or feel objects, tools, or control; reach with hands and arms; balance; stoop; talk or hear. Employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
