Team Overview

The SFM legal team is a seasoned group of attorneys, paralegals, legal analysts and administrative support professionals. Our goal is to provide timely, business‑oriented legal solutions that advance SFM’s business objectives, while protecting its legal and financial interests and reputation. We support all aspects of SFM’s business including providing advice and counsel to senior management, negotiating complex investment transactions, drafting and reviewing contracts, managing disputes and litigation, and ensuring compliance with applicable laws and regulations.

Overview

SFM is seeking a highly organized and proactive professional to join the Legal and Compliance Department as an Executive Assistant and Operations Coordinator. This individual will provide day‑to‑day support to the General Counsel/Chief Compliance Officer (GC/CCO) and the broader legal and compliance team. The ideal candidate will blend strong executive assistant skills with the ability to coordinate departmental operations, manage projects, and improve processes.

This role requires professionalism, discretion, and the ability to thrive in a fast‑paced environment with multiple priorities.

Major Responsibilities
  • Executive Support
    • Provide high‑level administrative support to the GC/CCO, Deputy CCO, and Assistant General Counsels
    • Manage complex calendars, meeting coordination, travel arrangements, and expense reporting
    • Prepare and distribute materials, including meeting agendas, summaries, and presentations
    • Anticipate needs and help the GC/CCO, Deputy CCO, and assistant general counsels prioritize and manage time effectively
  • Department Coordination and Operations
    • Serve as a key point of contact and coordinator for the Legal and Compliance Department; liaison to other departments to coordinate cross‑functional initiatives
    • Manage the department’s invoice processing and vendor coordination
    • Coordinate department‑wide logistics, such as team meetings, training sessions, and communications
    • Maintain organized department records, templates, and databases to ensure accuracy and accessibility
  • Project Management and Process Improvement
    • Track ongoing projects, deadlines, and deliverables for the Legal and Compliance team
    • Identify opportunities to streamline or automate administrative and legal processes
    • Partner with Technology and Finance to identify, develop, and implement tools and workflows that improve efficiency and consistency
