Overview
The Temporary Mailroom & Office Facilities Assistant supports daily office operations by managing inbound and outbound mail, coordinating with courier services, and assisting with basic office and facilities needs. This role is critical to ensuring timely delivery of materials, clear communication with employees, and an organized, efficient mailroom environment.
This position is ideal for a junior professional who is reliable, detail-oriented, comfortable using computers, and eager to learn mailroom operations and fundamental logistics. The role requires a sense of urgency, strong communication skills, and the ability to perform physical tasks safely.
Responsibilities- Receive, sort, and distribute incoming mail and packages to employees in a timely manner
- Send email and Microsoft Teams notifications to employees regarding mail and package pickup, particularly for lower-priority items
- Process and prepare all outbound mail and packages, ensuring proper labeling, documentation, and tracking
- Coordinate daily pickups and deliveries with courier services (Fed Ex, UPS, USPS, messengers, etc.)
- Maintain accurate logs for incoming and outgoing mail as needed
- Maintain a clean, organized, and clutter-free mailroom at all times
- Support the Office Manager with general office and facilities-related tasks as needed
- Assist with light logistics support related to office operations
- Escalate any facilities or delivery issues promptly to the appropriate contact
- Communicate clearly and professionally with employees regarding mail status and pickup instructions
- Work closely with HR, Facilities, and Office Management to ensure smooth daily operations
- Demonstrate urgency and responsiveness when handling time-sensitive deliveries
- High school diploma or equivalent
- Strong basic computer skills (email, Microsoft Teams, general systems navigation)
- Ability to learn mailroom procedures, logistics workflows, and courier processes
- Strong communication skills, both written and verbal
- Reliable, punctual, and detail-oriented
- Ability to prioritize tasks and work with urgency in a fast-paced environment
- Ability to lift, carry, and move packages weighing up to 45–50lbs
- Ability to stand, walk, bend, and perform repetitive tasks throughout the workday
- Prior mailroom, office services, or facilities experience (not required)
- Interest in logistics, operations, or office administration
- Strong organizational skills and a proactive mindset

In compliance with the New York City salary transparency requirements, the potential hourly rate for this position is from $20-$22 per hour, which represents a range commensurate with experience, knowledge, and skills required.
