Responsibilities
- Manage all communication methods (emails, phone, mail, real estate work order software, etc.), answer all incoming calls, directly alerting Executive to all incoming calls; take and deliver incoming messages as directed
- Schedule and follow‑up on all resident maintenance issues regarding their apartment.
- Arrange repair work for all common areas of the companies building portfolio etc.
- Order supplies and materials for building maintenance.
- Communicate information to staff as needed, maintain confidentiality and be a trusted team member
- Partner with Executive team as well as senior staff and support assistants
- Manage a comprehensive, active calendar and coordinate all logistics
- Anticipate the needs of the Manager and constantly maintain flexibility to handle anything that may arise throughout the day; maintain an excellent track-record of follow-up to detail.
- Take on Special Projects as needed
- Strong knowledge of industry processes and regulations.
- Outstanding communication and interpersonal abilities.
- An analytical mindset with excellent organizational skills.
- Minimum of 1+ years' experience at a fast-paced environment providing support to senior level managers and field staff.
- Must be polished, articulate and on-point
- Must be Bi-lingual in Spanish
- Always maintain a high level of professionalism & discretion
- Ability to multi-task without getting overwhelmed
- Independent problem solver, who works well under pressure in a fast-paced environment with shifting priorities
- Excellent time management and organizational skills with the ability to prioritize work
- Must be Proficient and have advanced Excel and PowerPoint skills.
