Location: New York City (Flatiron District)

Work Schedule: Hybrid (4 days in office, 1 remote)

Hours: 9:30 AM – 6:30 PM, with flexibility as needed

Experience Level: 2–3 years

Salary Range - $65,000 annually

About the Role

We are seeking a highly organized and proactive Executive Assistant to support our President of Experiential Marketing
. This role is ideal for a detail-oriented professional who thrives in a fast-paced, creative environment and enjoys being a trusted partner to an entrepreneurial senior leader. While the primary focus is executive support, this position will also provide light administrative support to the broader office as needed.

An interest in events or experiential marketing is strongly preferred, though candidates from all professional backgrounds are encouraged to apply.

Key Responsibilities
  • Manage complex and dynamic calendars, including scheduling internal meetings, external calls, and cross-functional sessions
  • Coordinate domestic and occasional international travel, including flights, hotels, ground transportation, and detailed itineraries
  • Prepare and submit expense reports via Ramp accurately and in a timely manner
  • Serve as a key point of contact for internal teams and external partners on behalf of the President
  • Provide administrative and coordination support on assigned projects, including tracking timelines, preparing materials, and following up on action items as directed
  • Assist with planning and logistics for meetings and client events, including scheduling, vendor coordination, and day-of support under guidance from leadership
Administrative & Office Support
  • Assist with meeting preparation, materials, and follow-ups
  • Provide ad hoc administrative support to the Experiential Marketing leadership team and NYC office as needed
  • Help ensure the office runs smoothly, including coordination with vendors or facilities when required
General
  • Anticipate needs, identify efficiencies, and proactively solve problems
  • Handle confidential information with discretion and professionalism
Qualifications
  • 2–3 years of experience as an Executive Assistant, Administrative Assistant, or similar support role
  • Proven experience managing calendars, travel arrangements, and expenses for senior-level executives
  • Strong organizational skills with exceptional attention to detail
  • Ability to prioritize effectively and adapt to changing demands
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office
  • Interest in events, experiential marketing, or creative industries is a plus
