Compensation: $80,000–$90,000 base + bonus eligibility + overtime
Location: New York City
Schedule: Full-time, onsite/hybrid 4 days a week
OverviewThe Executive Assistant will provide high-level administrative and operational support to the Investor Relations (IR) team. This individual will serve as a key partner in helping the team execute on all IR activities, including investor communications, roadshows, earnings prep, and internal coordination. The ideal candidate is proactive, organized, detail-oriented, and comfortable working in a fast-paced, market-driven environment.
Key Responsibilities Administrative & Executive Support- Manage complex calendars, coordinate internal/external meetings, and prioritize scheduling across multiple time zones.
- Arrange domestic and international travel, prepare detailed itineraries, and manage logistics for investor roadshows, conferences, and management meetings.
- Process expense reports, track reimbursements, and ensure compliance with firm policies.
- Handle confidential information with discretion and professionalism.
- Provide backup support to other administrative staff as needed.
- Assist with preparation of IR materials, including presentations, briefing documents, earnings call prep, and investor outreach.
- Support the coordination of quarterly earnings cycles, including scheduling, materials distribution, and communication flow.
- Maintain investor contact lists, track meeting notes, and manage CRM entries (e.g., IR Insight, Q4, Nasdaq IR tools—depending on firm).
- Help organize investor events, conferences, and internal planning sessions.
- Serve as point of contact for internal stakeholders, external investors, and corporate partners.
- Facilitate signature processes, document routing, and compliance requirements.
- Assist with ad hoc projects, research, and administrative tasks to enable the IR team to operate efficiently.
- Monitor deadlines and ensure timely follow-up on outstanding items.
- 1–3+ years of experience as an Executive Assistant or Administrative Assistant
- Strong organizational skills and ability to multitask in a fast-paced, deadline-driven environment.
- Excellent verbal and written communication skills.
- High level of professionalism, judgment, and discretion.
- Proficiency in Microsoft Outlook, PowerPoint, Excel, and Word; familiarity with IR tools a plus.
- Ability to work occasional overtime during earnings cycles, investor events, or peak periods.
