The Executive Board Secretariat is part of the Executive Director’s Office. The Executive Board Secretariat functions are to, Support the smooth functioning of intergovernmental bodies, including through: overseeing reporting processes within UN Women and providing advice to, and sharing institutional knowledge with, Member States on intergovernmental procedures and working methods;
Engage with Member States towards strengthening attention to gender perspectives in intergovernmental work, including through: gathering information, identifying challenges and creating opportunities for UN Women to help advance the global normative framework for gender equality;
Drive the process of integration of normative frameworks into UN Women’s operational and coordination functions, for wider-UN system action.
Under the direct supervision of the Chief, Secretary to the Executive Board, the Executive Board Programme Analyst will provide technical, coordination and analytical support in all functions related to UN-Women’s support of the Executive Board.
This temporary appointment position will be for a duration of 364 days
. Whereas an external candidate will be offered a temporary appointment, subject to release agreements, staff members in UN Women may be administered as a temporary assignment and staff members in the UN Common system may be administered under a loan arrangement.
- Provide coordination and technical support for UN-Women’s engagement with its Executive Board (EB).
- Coordinate preparations and all logistical arrangements for the yearly UN-Women Executive Board meetings, including preparation of the formal sessions, coordination of all informal meetings, and their follow-up, draft summaries of meetings, and responding to inquiries regarding intergovernmental processes; ensure the necessary and professional coordination with DGACM, UNDSS and other relevant UN Secretariat Departments.
- Arrange for meetings and briefings, including Board documentation, briefing notes, background papers and proposed agendas, drafting of minutes of meetings, drafting of statements and follow-up to Bureau decisions as directed.
- Ensure necessary inter-agency coordination and arrangements for the Executive Boards meetings including through background research, drafting agendas, minutes of meetings, coordination of calendars with Executive Board Secretariats of UNDP/UNFPA/UNOPS, UNICEF and WFP, as well as other UNSDG agencies as needed.
- Coordinate and prepare Executive Board field visits attended by the Secretary, including the joint field visits of the Executive Boards of UNDP/UNFPA/UNOPS, UNICEF, UN-Women and WFP and the UN-Women Executive Board specific field visit, and the UN-Women Specific Executive Board field visit.
- Provide administrative support, including managing budgets, processing expenses, booking travel and assisting with financial reporting.
- Maintain and improve the Executive Board website; provide technical support to the team, such as AI utilization support, data collection and analysis, etc.; ensure smooth and effective coordination with IT team for any needs.
- Assist with communication efforts, including supporting social media accounts, drafting content, processing photo/video, and coordinating internal and external communications.
- Effectively maintain the distribution list of the Executive Board in real time, manage the generic email account of the EB Secretariat by dispatching correspondence to the Board and responding to queries.
