Executive Assistant – BCI Management LLC
Location: Baltimore, MD Area
Reports To: Property Manager
Employment Type: Full-Time
About the RoleWe are seeking a highly organized and proactive Executive Assistant to support daily operations across our portfolio of LIHTC senior housing communities in the Baltimore/Maryland region. The ideal candidate thrives in a fast-paced environment, manages multiple priorities with ease, and brings strong administrative and communication skills.
ResponsibilitiesAdministrative Support:
- Manage calendars, schedule meetings, and coordinate appointments with vendors, compliance officers, and property staff.
- Prepare correspondence, reports, and documentation for internal and external stakeholders.
- Organize and maintain digital and physical filing systems for lease agreements, compliance records, and vendor contracts.
Compliance & Documentation:
- Assist with preparation and tracking of LIHTC compliance documentation and annual recertifications.
- Maintain accurate records for audits, inspections, and regulatory requirements.
- Track lease expirations and coordinate renewal processes across properties.
Financial & Project Coordination:
- Process invoices, track expenses, and reconcile vendor payments.
- Support budget tracking and expense reporting for capital projects and energy efficiency initiatives.
- Coordinate with contractors and vendors on renovation and maintenance projects.
Communication & Liaison:
- Serve as a point of contact for residents, vendors, and team members.
- Draft professional communications and follow up on outstanding items.
- Assist with preparation of materials for investor meetings and property reviews.
- 2+ years of administrative or executive assistant experience (property management experience a plus).
- Proficiency in Microsoft Office Suite, especially Excel and Word.
- Familiarity with property management software preferred.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to handle confidential information with discretion.
- Self-starter who can work independently and anticipate needs.
- Experience with affordable housing or LIHTC compliance.
- Knowledge landlord-tenant regulations.
- Experience coordinating with contractors or managing project timelines.
