Job Description: Under the supervision of the Coordinator of the Academic Skills Tutoring Center, the Administrative Secretary provides comprehensive administrative and operational support to the ASTC, including support to the Evening/Weekend Supervisor. The position plays a central role in the day-to-day functioning of the Center by supporting tutoring operations, coordinating schedules, tracking student usage data, and managing administrative processes related to payroll, records, and communications.
The role requires frequent interaction with students, tutors, and campus partners in a high-traffic academic support environment.

Essential Functions- Administrative & Operational Support
- Provide day-to-day administrative support to the Coordinator and Evening/Weekend PT Supervisor, including front-desk coverage and in-person, virtual, and telephone assistance to students and tutors.
- Maintain organization, storage, and disposal of departmental files in accordance with FIT Record Retention Schedules.
- Prepare correspondence and documentation, including employment letters for international students approved to work in the ASTC, under established guidelines.
- Tutoring & Student Support Operations
- Assist with oversight of tutoring staff, including semester-based scheduling of tutors and work-study students.
- Input, update, and maintain tutor and student information in online scheduling systems.
- Assist in the preparation and coordination of tutor training sessions, workshops, and related events.
- Payroll, Timesheets & Data Tracking
- Monitor, collect, and distribute tutor and work-study student timesheets for timely processing in coordination with the Department Coordinator, Evening Supervisor, Payroll, FIT-ABLE, EOP, and Accounting.
- Track daily walk-in tutoring attendance and enter data into Excel-based tracking tools; train work-study students on data entry procedures.
- Maintain accurate records to support reporting, assessment, and operational planning.
- Communications, Outreach & Events
- Assist with updating and maintaining ASTC website content, flyers, and approved social media postings under the guidance of the Coordinator.
- Support outreach and promotional activities, including student fairs, orientations, Open House, and other institutional events.
- Interact professionally with students, faculty, and campus partners to promote ASTC services and resources.

Job RequirementsMinimum Qualifications
- Associate's degree required.
- 2-4 years of relevant administrative experience; experience in a higher education setting preferred.
- Proficiency with Microsoft Office, Google Workspace, Adobe Acrobat, Smartsheet, social media platforms, including intermediate-level Excel skills.
- Bachelor's degree preferred.
- 3-5 years of relevant administrative experience; experience in a higher education setting preferred.
- Experience with student support systems such as Starfish; basic knowledge of Banner.
- Experience supporting academic support programs, tutoring services, or student success initiatives.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Knowledge of office procedures, including records management, workplace terminology, customer service practices, and payroll policies and procedures.
- Experience managing budgets, preparing purchase requests, and coordinating calendars and administrative workflows.
- Strong organizational, problem-solving, and time-management skills, with the ability to balance multiple demands, manage competing priorities and meet deadlines.
- Exceptional attention to detail and ability to maintain diplomatic persistence in follow-up when necessary.
- Strong written and verbal communication skills, including the ability to communicate professionally with diverse audiences and collaborate effectively across teams and stakeholders.
- Excellent customer service skills; professional, courteous, tactful, and responsive in telephone and email communications.
- Proven ability to work independently and as part of a team, take initiative, exercise sound judgment, and adapt to shifting or emerging priorities in dynamic environments.
- Demonstrated ability to handle confidential matters with discretion, recognize errors, recommend improvements, and appropriately refer complex matters to management.
- Experience working in a college or university setting, with preference for experience in diverse and inclusive environments.
