Job SummaryThe W Group is seeking an experienced Assistant Administrator to support daily administrative and operational functions in our Bronx assisted living community. Partner closely with the Facility Administrator and department leads to coordinate priorities, resolve routine issues, and keep operations running smoothly. The ideal candidate is organized, reliable, knowledgeable in NYS Doh Regulations and confident navigating a fast-paced healthcare environment.
Essential Duties and Responsibilities- Coordinate daily administrative workflows; track priorities and follow up to closure
- Maintain organized records, logs, and facility documentation for operational continuity and compliance readiness
- Support resident administrative processes, including documentation coordination and scheduling/follow-up as assigned
- Assist with monitoring QA/compliance
- Support audit/survey readiness
- Identify training needs and coordinate in-services and administrative tracking for staff files as assigned
- Support purchasing/ordering and vendor coordination (dietary/medical/maintenance supplies)
- Provide continuity support for routine facility needs, including serving as a point of contact and supporting day-to-day operations and communication flow as needed when leadership is offsite
- Participate in incident review, corrective action follow-up, and documentation tracking
- Ensure required logs, binders, postings, and certifications are current and complete
- Escalate compliance risks promptly to the Administrator
- Assist in Payroll oversight including overtime, schedules, staffing
- Support onboarding, offboarding, and disciplinary documentation under Administrator guidance
- Serve as a point of contact for resident and family concerns, including complaint resolution, escalating as appropriate
- Ensure timely documentation, notifications, and incident reporting (internal and external)
- Perform other duties as assigned
- 2+ years of relevant experience in assisted living, adult care, long-term care, or healthcare operations (required)
- Strong organizational skills and attention to detail
- Professional communication skills and discretion with confidential information
- Proficiency in Microsoft Office; experience with ALIS or similar systems preferred
