Qualifications

  • Must have a 4 year BS/BA College degree.

Duties

The Sales Administrator/Executive Assistant is responsible for diverse administrative functions as required by the Global General Manager and the Sales Team of the Sports & Entertainment division of The Topps Company, Inc. This role will provide ongoing support for the Sales and Marketing teams and includes, but is not limited to, managing travel and meeting arrangements, preparing correspondence and presentations, expense reporting, and any other matters of assistance as needed for the Sports & Entertainment business.

This role reports to the Global General Manager of Sports & Entertainment and requires a seasoned professional who is highly detail-oriented and an adept multi-tasker with strong organizational and communication skills.

  • Work with Brand and Marketing to develop sales collateral materials such as Product Sell Sheets, Price and Pack Spec Sheets; distribute collateral materials to distributors.
  • Manage commission reporting and payments for 3rd party brokers.
  • Assist with reviewing and screening hobby Direct (MVP) accounts applications.
Database Management:
  • Manage and update Topps Pro and iStore to ensure the accurate and timely uploading of critical information (Product Sell Sheets and Price & Packs) in support of our distributors and Direct (MVP) accounts in achieving business goals.
  • Maintain and update the product release dates on a timely basis in Oracle.
  • Maintain Topps Direct Store (MVP) database and contact information to ensure it is up-to-date.
  • Process deduction and customer claims, including creating of annual budgets in Oracle.
Reporting:
  • Run, analyze, and distribute weekly sales reports including open order reports.
  • Compile monthly broker reporting.
  • Manage and execute weekly cut-bait meetings between sales and internal teams.
  • Collect and organize sales forecast.
  • Serve as our primary power user for Oracle Business Intelligence.
  • Track business results as required (e.g. new customers, distribution).
Administrative:
  • Perform a wide variety of administrative duties as required.
  • Receive and screen telephone calls to the GM. Provide assistance using independent judgment to determine those call that require priority attention. Prioritize, channel, and facilitate communications.
  • Route telephone calls elsewhere as needed. Arrange "callbacks" to protect manager’s time and provide back-up materials for callbacks.
  • Manage appointment schedules and calendars. Ascertain which events require manager’s presence.
  • Make travel arrangements for the GM through internal or outside agents, providing itinerary, trip file and supplies.
  • Extensive knowledge of all features of PowerPoint software and good aptitude to collaborate with managers in designing effective presentations.
  • Arrange essential mail in priority action order and independently respond to letters and general correspondence of a routine nature.
  • Assist GM with licensing matters.
  • Review and summarize miscellaneous reports, presentations and documents; prepare background documents as necessary.
