About the Role

We are seeking an exceptionally organized and proactive Executive Operations Coordinator to support our executive leadership and ensure smooth day-to-day operations across the organization. This role sits at the intersection of administrative excellence, project coordination, and general operations. You will partner closely with the C‑Suite and Operations Team to streamline workflows, manage priorities, and keep the organization running efficiently. This is an ideal position for someone who thrives in a fast‑paced environment, is solutions‑oriented, and enjoys balancing multiple responsibilities while maintaining impeccable attention to detail.

This role will report into the Senior Manager of Executive Operations & Engagement.

Executive Support
  • Manage complex executive calendars, including scheduling, prioritization, and coordination across time zones
  • Handle travel planning, logistics, and expense reconciliation for executive leaders
  • Prepare meeting agendas, briefing materials, presentations, and follow‑up communications
  • Support executive meetings by taking notes, tracking action items, and ensuring tasks stay on schedule
  • Serve as a point of contact for internal and external stakeholders on behalf of executives
  • Maintain discretion and confidentiality regarding sensitive information
Operations Coordination
  • Support general and network operational workflows and cross‑functional processes to ensure team alignment and efficiency
  • Track project timelines, deliverables, and key deadlines for organizational priorities
  • Maintain and update internal systems, documentation, and shared resources
  • Assist in planning and executing events such as staff meetings, offsites, retreats, and company‑wide gatherings
  • Support internal operations with onboarding and offboarding logistics, culture initiatives, and internal communications
  • Support network operations with database management, system workflows, and operational efficiencies
  • Identify opportunities to streamline processes and improve operational efficiency
Administrative & General Support
  • Maintain organized digital filing systems and internal knowledge bases
  • Assist in managing organizational dashboards, reports, and metrics tracking
  • Support special projects and initiatives as assigned
Requirements
  • Bachelor’s degree required or equivalent work experience
  • 2-3 years of experience in administrative support and/or operational functions
  • Superior organizational skills and ability to prioritize multiple tasks seamlessly and efficiently with uncompromising attention to detail
  • Relentlessly positive, resilient, no‑job‑is‑too‑small attitude for a high‑paced startup environment
  • Exceptional interpersonal skills and the ability to build relationships with key stakeholders
  • Exceptional communication skills and able to distill high volumes of complex information into a synthesized set of recommendations
  • Proficient in Google Suite services, Adobe Acrobat, and ideally other major organizational tools like Hubspot
