The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The Vagelos College of Physicians and Surgeons Office of Development (VP&S OOD), a part of the Columbia University Irving Medical Center (CUIMC), is dedicated to facilitating relationships that support the vision and mission of CUIMC and VP&S: to transform health by driving discovery, advancing care, and educating leaders.

Position Summary

The Development Associate (DA) reports to the Senior Executive Director of Development (SED) and plays a central role in supporting the major gifts team that staffs Cardiology, Surgery and Ob/Gyn. The DA serves as a development support professional and helps ensure the effectiveness of the development team in fundraising activities, including donor relations, volunteer councils, and special events.

The DA is responsible for scheduling appointments and meetings; drafting correspondence with donors; preparing, editing, and coordinating the production of donor reports including proposals and stewardship communications; preparing gift transmittals and helping to build the donor pipeline through coordinating prospect research. The DA supports the team’s work with advisory boards through preparing for meetings and events and assisting with stewardship and cultivation events.

The DA will handle database entry and will assist with and perform other related duties and special projects as assigned. Additionally, the DA provides office management support for the VP&S office suite, managing the office’s supply and maintenance needs.

Responsibilities
  • Schedule appointments and meetings; proofread, edit, and coordinate the production of donor reports for proposals and stewardship communications; draft transactional donor communications and thank you notes; process gift transmittals and assist with prospect research. - 30%
  • Coordinate Council meeting logistics and liaise with volunteers for both meetings and events. - 20%
  • Handle database entry including coordination with the University gift processing team, maintain donor lists and files, and request and prepare reports based on gift officer needs. - 15%
  • Assist with the execution of cultivation, stewardship, and fundraising events. -15%
  • Manage and maintain all VP&S (630 W. 168th Street, Suite 2-241) office supplies and coordinate with the VP&S OOD Operations team regarding office cleaning, repairs, and maintenance needs. - 10%
  • Perform other related duties and special projects as assigned. - 10%
Minimum Qualifications
  • Bachelor’s degree or equivalent in education and experience, plus three years of related experience.
Preferred Qualifications
  • Strong Microsoft Office skills including SharePoint and experience in working with a fundraising CRM, preferably Salesforce.

  • Must demonstrate excellent verbal and written communication skills and have the ability to exercise excellent judgment, tact, confidentiality, and diplomacy in all interactions.
  • Must be able to accurately handle diverse projects and a large volume of detailed work simultaneously and use good judgment in prioritizing work.
  • Ability to work with minimal supervision and maintain a high level of confidentiality is required.
  • Superior Excel and MS Office skills required.
  • This position requires work beyond regular hours, including evenings and weekends, as projects and events require.
