A fast-paced professional services team based in New York City serving US customers and internal teams. We deliver high-touch administrative, facilities, and operational support to ensure a productive, welcoming in-office experience for staff and visitors. This is a part-time, on-site role (M–F) for a hands-on Office Manager who thrives in a small-team environment.

Role & Responsibilities
  • Oversee day-to-day front-desk and reception activities: greet visitors, manage incoming calls and mail, and maintain a professional office environment.
  • Manage facilities and vendor relationships: coordinate cleaning, maintenance, supplies procurement, and vendor scheduling to keep the office running smoothly.
  • Administer office systems and tools: maintain shared calendars, book meeting rooms, manage Slack channels, and support Google Workspace/Microsoft 365 administration tasks.
  • Handle basic financial and administrative tasks: process invoices, coordinate expense reports, and liaise with accounting for timely reconciliations.
  • Coordinate office logistics for meetings and events: set up AV, catering, and materials for internal and client-facing sessions.
  • Maintain office inventory and workspace standards: track supplies, manage onboarding/offboarding logistics, and support health & safety protocols.
Skills & Qualifications

Must-Have

  • Proven experience managing an in-office workspace or frontline administration function
  • Comfortable with Google Workspace and Microsoft 365 (calendar, Gmail/Outlook, Drive/One Drive)
  • Familiarity with Quick Books or similar basic bookkeeping tools
  • Experience coordinating vendors and facilities services
  • Proficiency with Slack or other team communications platforms
  • Ability to work on-site in New York City Monday–Friday (part-time schedule)

Preferred

  • Experience with office-management tools or task platforms (Asana, Trello, or equivalent)
  • Previous event coordination for internal meetings or client gatherings
  • Basic knowledge of expense reporting workflows and invoice processing
