As a Front Desk Coordinator, you’ll help shape Justworks’ office and facilities strategy by partnering closely with your team members and other departments to maintain a well organized and stocked office. You will be the main reception point of contact. In this role you will work with other departments and be an instrumental support person on the Office / Facilities team.
Your Success ProfileWhat You Will Work On
- Visitor and Vendor Management: Oversee the check‑in process, manage visitor access, and maintain building security by approving vendor access and ensuring Certificates of Insurance (COIs) are up‑to‑date.
- Office Administration: Handle Jira tickets, maintain dog registrations, and assist employees with office‑related inquiries.
- Monitor Slack Channels: Monitor Slack channels and answer related questions.
- Inventory and Supply Management: Stock printer areas and conference rooms with necessary supplies, monitor office supply usage, place orders, and coordinate weekly supply deliveries based on consumption.
- Space Planning and Organization: Assist with space planning activities, including office moves, hotel seating arrangements, and space assignments. Update floor plans and ensure data accuracy for space utilization metrics.
- Conference Room Management: Manage daily conference room organization, ensure rooms are stocked, and that A/V equipment (like TVs and sound systems) is functioning properly.
- Employee Support: Address employee concerns and requests regarding Workplace.
- Internal Communications and Events: Prepare and communicate team initiatives, such as group lunches, All Hands meetings, and other company events.
- Badge Access Control: Manage new hire badge creation, issue temporary badges as needed, and deactivate badges for terminated employees.
- Office Maintenance and organization: Assist in maintaining the overall appearance and organization of the office.
- Project Management: Research and execute ad hoc projects as assigned, track progress, and provide regular updates.
- Workplace Page Maintenance: Keep Workplace intranet pages and content up to date.
- Package Delivery: Manage package deliveries, including logging, organizing, and notifying recipients.
- Other Duties: Perform other related duties as assigned to support the office and team.
