** About Burn Studio
** Burn Studio is a creative, multi-platform production studio specializing in cinematic campaigns for top-tier brands. We are currently at a pivotal stage of growth, pioneering a new "Agentic" initiative to integrate AI into our creative and operational workflows. We are looking for an organized, tech-savvy, and proactive Executive Assistant to support our leadership team and ensure the smooth operation of our studio, projects, and new strategic ventures.
** Role Overview
** The Executive Assistant will be the operational backbone for the Founders and Chief Creative Officer (CCO). You will not only manage complex schedules and travel but also play a critical role in our business development (Salesforce), project management, and our innovative "Agentic" AI build-out. This is a hybrid role for someone who thrives in a fast-paced creative environment and is eager to engage with new technologies.
** Key Responsibilities
**** 1. Executive Support & Operations
** Master Scheduling:
Proactively maintain and organize calendars for the Founders and CCO. Ensure conflicting priorities are resolved and time is optimized for high-level creative and strategic work.

Travel & Logistics:
Plan and book complex travel itineraries for quarterly sales trips, client meetings, film festivals (e.g., Cannes), and screenings.

Meeting Coordination:
Serve as the primary point of contact for coordinating high-stakes meetings with agencies, clients, and partners.

Confidentiality & Discretion:
Manage sensitive information regarding internal HR matters, legal frameworks (e.g., incentive plans), and client contracts with the utmost confidentiality.
** 2. Sales & CRM Operations
** Salesforce Management:
Act as the administrator for our Salesforce instance. Maintain clean data and ensure the CRM process is fully aligned with our marketing efforts and new director rosters.

Business Development Support:
Assist in tracking leads and coordinating follow-ups to ensure no opportunity falls through the cracks.
** 3. Project, Event & Studio Management
** Timeline Oversight:
Oversee internal project timelines to keep the team on track. This includes tracking milestones for merchandise development, photo shoots, creative pitches, and the "Burn Agentic" build-out.

Organize our body of work with an eye for aesthetics. Understanding the best frames and moments in our films to use in promotional materials, social and website curation.

Coordinating with designers and providing the right assets to maintain our high visual standards.

Updating our website with new work.

Event Production Support:
Assist in the planning and execution of studio events, screenings, and client dinners, including venue research, guest list management, and on-site coordination.

Social & Marketing:
Manage the social media and marketing calendar, ensuring content is posted on schedule and aligns with studio announcements.
** 4. Data Organization & AI Strategy Support
** Agentic Learning Prep:
Work closely with the Managing Director (MD) on "Agentic Learning Preparation." This involves organizing internal data, structuring files, and assisting with the "hygiene" of our digital workspace to ensure our AI agents are effective.

Data Organization:
Lead the effort to keep Burn Studio's digital assets (Drive, servers) meticulously organized and accessible.
** Qualifications & Skills

* Experience:

1-2+ years of experience in an executive assistant or studio coordinator role, preferably within a creative agency or production environment.

Tech & AI Curiosity:
High comfort level with technology is non-negotiable. You must be interested in AI tools and highly proficient in digital organization (file naming, folder structures, data hygiene) to support our Agentic workflows.

Communication & Copywriting:
Strong written and verbal communication skills. Ability to draft professional emails and engaging social media copy that matches the Burn Studio tone.

Organizational Mastery:
Ability to manage multiple timelines and complex logistics (travel, events, meetings) without missing details.

Tools:
Proficiency in Google Workspace (Drive, Docs, Sheets), Salesforce (or similar CRM), and social media platforms.
