Location: New York

Broadway Up Close is seeking a highly organized, detail-oriented Groups Coordinator to manage all aspects of our group bookings and experiences. This role serves as the primary point of contact for schools, tour operators, corporate groups, and private clients, ensuring every group experience is seamless, clear, and thoughtfully handled from first inquiry to final confirmation.

This position is ideal for someone who communicates exceptionally well in writing, thrives on organization, and enjoys managing multiple moving pieces with care and precision.

Hours:

  • 5–10 hours per week during slower periods
  • Increased hours during peak season (February to June)

Schedule: Flexible timing

Work Location: Hybrid role, but primarily

Key Responsibilities:

  • Serve as the main point of contact for all group clients via email
  • Respond promptly to group inquiries submitted through our website
  • Write clear, friendly, and professional client-facing emails
  • Create, send, and track invoices and payment confirmations
  • Prepare and distribute booking confirmations and itineraries
  • Coordinate logistics including:
    • Schedule teaching artists and instructors
    • Manage dates, group sizes, and special requests
    • Maintain accurate records of all group bookings and communications
    • Collaborate with internal teams to ensure group experiences run smoothly

Qualifications & Skills:

  • Highly detail-oriented with strong organizational skills
  • Excellent written communication and professional email etiquette
  • Proficient in Google Docs, Google Drive, and email platforms
  • Able to manage multiple bookings and deadlines simultaneously
  • Reliable, responsive, and solutions-focused

Bonus (Not Required):

  • Experience coordinating groups, events, or educational programs
  • Background in theatre, arts education, tourism, or hospitality
  • Familiarity with invoicing systems or booking tools
