Addison Group is partnering with one of our clients, a highly respected organization within the legal services space, to identify an experienced Administrative Assistant. Our client is known for its fast-paced, professional environment and for supporting complex, high-level legal work with exceptional administrative talent.
Job Description:Our client is seeking a seasoned Administrative Assistant to provide comprehensive support to senior legal leadership and their teams. This role requires a high level of independence, strong attention to detail, and the ability to manage competing priorities in a demanding environment. The ideal candidate is proactive, polished, and experienced in supporting attorneys within a large law firm setting.
Key Responsibilities:- Provide day-to-day administrative support to senior attorneys and assigned legal teams
- Independently manage an active assignment desk with minimal oversight
- Act as a point of contact and gatekeeper for attorney schedules and priorities
- Coordinate internal and external meetings, including client meetings, conferences, and project-related sessions
- Maintain calendars and ensure timely follow-ups on action items and deadlines
- Partner with legal, finance, and business support teams to facilitate documentation and workflow
- Track key milestones, maintain checklists, and monitor timelines related to ongoing matters
- Draft, edit, and prepare correspondence, presentations, and reports
- Arrange domestic and international travel, including required documentation
- Enter attorney time and process reimbursable expenses accurately
- Support billing activities, including invoice preparation, payment tracking, and coordination with billing teams
- Assist with year-end administrative tasks and ongoing collections support
- Build working knowledge of assigned practice groups and internal processes
- Prior experience supporting attorneys in a large law firm environment
- Strong proficiency with Microsoft Office and experience with legal or financial systems (Aderant is a plus)
- Exceptional organizational skills with the ability to manage multiple priorities
- Confident communicator who is articulate and professional in all interactions
- Self-starter mentality with the ability to anticipate needs and follow through consistently
- Bachelor’s degree highly preferred; relevant experience may be considered in lieu of a degree
- Demonstrated stability in work history is strongly preferred
- Position is open due to an upcoming retirement
