Overview
The Facilities Coordinator is an active member of the Zappos and Shopbop Facilities support staff team, driving and supporting network-wide facilities inventory control and preventive maintenance initiatives. Candidates should bring an entrepreneurial, hands‑on approach, strong knowledge of corporate office maintenance material inventory, project estimating and scheduling, enterprise server CMMS experience, and data‑driven analytical thinking. Effective presentation, persuasion skills, and the ability to influence without authority are essential.
Key Responsibilities
- Match completed work orders to invoices for accounts payable.
- Update the Facilities budget tracker.
- Perform general office administrative tasks: housekeeping, inventory management, desk allocation, safety maintenance, hygiene coordination, and contract renewal.
- Coordinate emergency repairs with external vendors, management, and purchasing.
- Create reports for Facility Management and maintain visual management charts for PM completion, budget performance, downtime, and labor tracking.
- Organize and maintain purchase orders, work requests, and associated files.
- Promote good housekeeping practices.
- Coordinate with vendors and internal procurement teams to support office purchasing and delivery arrangements.
- Provide floor support for absenteeism and vacation coverage as needed.
- Drive best‑practice standardization across facilities departments at all sites.
- Lead office coordination for expansion and relocation initiatives.
A Day in the Life
A typical day involves reviewing overnight emails and reports, checking the maintenance schedule, conducting facility walkthroughs, managing work orders, coordinating with vendors, addressing occupant issues, overseeing budgets, and performing administrative duties such as invoice approvals and compliance record maintenance.
About the Team
The Zappos and Shopbop F2 Facilities Subsidiary Support team manages the day‑to‑day operations of the assigned building, ensuring a safe, clean, and efficient working environment for internal and external customers.
Basic Qualifications
- 1+ year(s) using a computer maintenance management system for planning, scheduling, and auditing facilities activities.
- 1+ year(s) experience with computers and Microsoft Office products.
- High school diploma or equivalent.
- Flexibility to work varied schedules, shifts, and locations, including weekends, nights, and holidays.
Preferred Qualifications
- 2+ years as a maintenance planner or scheduler in a manufacturing, distribution, or similar industrial environment.
- Experience with material handling system installation, operation, and maintenance.
