Office Administrator/ Coordinator
Location: New York
We are seeking a Conference Services Coordinator for our New York office. In this role, you will provide excellent hospitality service to attorneys, business professionals, clients, and visitors. This is an on‑site position with required work hours of 8:00 a.m. – 4:00 p.m., Monday through Friday.
Inthis role, you will
- Work with multiple teams and vendors, serving as point person for all hospitality and catering related orders.
- Assist the marketing manager, office manager, and/or attorneys with marketing events, internal social events, and meetings.
- Collect all details related to events; place food orders that are within budget.
- Ensure set‑ups (food, beverages, etc.) are completed in a timely manner, are visually appealing, and easily accessed/maneuvered and taken down after completion of meetings.
- Maintain a clean, orderly, and stocked kitchen and pantry for efficient and sanitary functioning.
- Maintain OSHA standards.
- Track inventory and order kitchen supplies from vendor.
- Ensure the prompt and thorough removal of garbage and rubbish from kitchen/pantry as necessary.
- Process invoices and vendor billing with the correct codes and timely for proper billing.
- Serve as back‑up to reception which includes answering phones and directing incoming callers; greeting clients and visitors; notifying the building of visitors and providing concierge services to clients and Firm members.
- Promote and maintain the good will and reputation of the Firm by maintaining the highest level of professional conduct and confidentiality.
- Keep supervisor informed of activities and of any significant issues.
- Provide additional administrative support as needed.
- May perform other duties not mentioned above, including cross training and performing duties in other departments.
- High School diploma or G.E.D. equivalent.
- At least 1 year of administrative support or related experience.
- Accurate typing skills.
- Good oral and written communication skills.
- Ability to work effectively with all levels of personnel.
- Attention to detail and accuracy.
- Strong organizational skills.
- Strong customer/client service focus and skills.
- Ability to adhere to deadlines.
- Ability to maintain client and firm confidentiality.
- Ability to work independently and in a team environment.
- Working knowledge of Microsoft Office.
- Physical strength and agility to permit full performance of the duties of the position, including daily bending, operating office equipment, and moving up to approximately 30 pounds.
- Ability to work early morning or evening events, as needed.
- Previous law firm or other professional services experience is preferred.
