Job Summary

The Project Manager at Insidesource is responsible for coordinating and managing furniture delivery and installation projects from order release through project close-out. This role works closely with Account Managers, Design, Account Coordinators, installers, warehouses, and clients to ensure projects are executed accurately, on schedule, and with a high level of client satisfaction.

Essential Duties and Responsibilities:

Project Coordination & Planning

* Participate in project handoff meetings with Account Managers, Design, and Account Coordinators prior to product ordering.

* Review project scope, drawings, specifications, building requirements, and installer responsibilities.

* Coordinate and perform site verifications, including field conditions, elevator access, delivery logistics, and site readiness.

* Review construction schedules when applicable and assist with establishing delivery and installation timelines.

Logistics & Documentation

* Manage receiving tickets and related purchase order documentation; coordinate distribution with warehouse and installation teams.

* Review status reports and warehouse receivers to confirm product readiness and accuracy.

* Prepare complete installation packages including work orders, drawings, schedules, scope of work, and site contact information.

* Confirm Certificates of Insurance (COIs) and building requirements are current and approved.

Delivery & Installation Oversight

* Conduct pre-installation site reviews to confirm readiness.

* Oversee deliveries and coordinate directly with installation leads.

* Support installation teams during install, including day-one coordination and issue resolution.

* Track and communicate missing, damaged, or incorrect product.

* Provide progress updates to internal teams as needed.

Project Close-Out

* Conduct final walkthroughs with clients and installers.

* Coordinate punch list completion and follow-up service work.

* Communicate lessons learned and improvement opportunities to internal teams.

Team Support

* Assist with service calls, site reviews, and team coverage as needed.

* Collaborate across teams to support project success and maintain Insidesource's high standard of client experience.

None

Skills, Knowledge, Experience Required

* 5+ years of project management experience.

* Knowledge of construction, architecture, event planning or commercial real estate industry is a plus.

* Working knowledge of architectural drawings and furniture standards is a plus.

* Proficient in the use of MS Office Suite:
Word, Outlook, Excel, PowerPoint.

* Willing to become proficient in other project management software platforms including Plan Grid, Box, Dropbox, Smartsheet, Google Doc, etc.

* Strong communication (written and verbal); communicates in a way that instills confidence with client and helps guide client to make the best decisions for project efficiency.

* Strong interpersonal skills with an ability to interact and connect with team members across all levels of the organization.

* Able to communicate effectively with clients, architects, installers, and contractors (including electricians and data vendors).

* Logical and analytical with strong attention to detail.

* Able to analyze data and situations pertaining to a project, and concisely communicate findings and/ or solutions to both internal and external project teams.

* Understands importance of customer input and acts with customer in mind.

* Able to work efficiently under high stress situations and manage conflict successfully.

* Able to identify core issues on a macro and micro level, then use tact and diplomacy to guide others toward best solution.

* Remain tactful and diplomatic during conflicts, and when diffusing people issues.

* Excels at setting and communicating goals, then developing strategic methodology and process to achieve goals.

* Excellent time management and prioritization skills; able to set and meet deadlines in a fast paced environment.

* Can easily shift gears and adapt based on client needs and project constraints.

* Excited by new challenges and seeks out opportunities to step out of comfort zone.

* Eager and able to learn from multiple sources.
