Senior Property Manager – First Service Residential

As a Senior Property Manager, you will be responsible for the daily management of a portfolio of new development cooperative and condominium hi‑rise properties in Manhattan. The responsibilities listed are typical examples of the work performed by positions in this classification. Not all duties are assigned to every position, nor is it expected that all positions will be assigned to every duty.

Responsibilities
  • Oversee all aspects of building management while acting as a liaison between the Board, tenants, and the Company.
  • Lead the Board of Director/Manager meetings by keeping focus on the agenda created.
  • tasks onto the resident/building database, FSRconnect, in Task Administration within 48 hours of any board or annual meeting.
  • Prepare Board meeting minutes in a timely and professional fashion and deliver to Board within three days of meeting.
  • Submit board meeting “agenda packages” to Board as required but at least four days prior to meetings using the Meeting Management System.
  • Handle emergency situations and crisis management.
  • Supervise and train building staff members ( and non‑union).
  • Conduct thorough interviews for potential building open positions. Coordinate background and drug tests of potential new hires.
  • Manage adequate training of new staff members, as well as ongoing training of existing staff.
  • Impose progressive disciplinary action when required.
  • Develop and implement building staff work schedules; approve weekly payroll in ADP.
  • Conduct periodic staff performance evaluations and develop improvement strategies.
  • Monitor the cash and reserve funds of the property.
  • Review operating statements and monthly financial reports.
  • Participate in the preparation of annual operational budgets.
  • Assist the property accountant in presenting the annual budget to the Board.
  • Track property financial variance reports.
  • Seek, evaluate, and execute methods to preserve client cash and capital.
  • Oversee building repairs and apartment alterations.
  • Approve payment of vendor invoices via accounts payable software, Avid Xchange.
  • Monitor delinquent tenant/shareholder/owner accounts and take appropriate action.
  • Ensure all building permits, licenses, and other compliance documentation meet state and local rules.
  • Resolve new violations promptly and ensure old violations are resolved timely.
  • Implement security and safety safeguards and procedures for the portfolio of properties managed.
  • Perform regular property inspections to ensure building safety, maintenance, cleanliness, etc.
  • Communicate mechanical/building deficiencies and issues with staff and other parties.
  • Plan, negotiate, and coordinate vendors to complete capital improvement projects.
  • Ensure proper vendor insurance with Vive and assist with annual building insurance renewals.
  • Oversee maintenance requirements of the properties’ physical plants, such as boiler conversions and HVAC systems, and obtain vendor service contract proposals for Board review.
  • Interface with all internal department personnel (accounting, compliance, closings, etc.).
  • Maintain organized electronic and paper tenant and building files.
  • Respond to all communications (phone, email, etc.) in a timely and professional manner, ensuring same‑day responses to emails and calls received before 3 PM.
  • Understand critical provisions of client management contracts.
  • Maintain substantial compliance with Property Management Best Practices, particularly FSRconnect.
  • Email the supervisor within 24 hours of a board or annual meeting with a succinct description of the general tone of the meeting and ensure the property questionnaire is kept current with any relevant updates.
Skills & Qualifications
  • 8–10 years’ experience in New York City residential condominium and cooperative property management.
  • Superior verbal and written communication skills and proven customer service exposure.
  • Strong financial acumen, with the ability to analyze, prepare, and manage budgets, cash flow, and financial statements effectively.
  • High‐energy attitude to handle day‑to‑day tasks and ability to multitask under pressure.
