Based in New York, the MAO Project Assistant will work closely with the Director of Managing Attorney's Offices and MAO Project Coordinator to develop and implement best practices for electronic filing and docketing in the firm's Managing Attorney's Offices.
This role reports to the Director of Managing Attorney's Office.
Responsibilities include:
- Providing administrative assistance to the members of the Managing Attorney's Office (MAO), including, but not limited to, time entry, processing expenses for reimbursement, inputting data into Court Alert (the firm's docketing software) and monitoring the MAO inboxes.
- Creating and maintaining spreadsheets to track data.
- Coordinating meetings across Gibson Dunn offices.
- Maintaining the Managing Attorney's Office page on the firm's intranet.
- Assisting with maintaining MAO databases of sample forms, templates, checklists and roadmaps.
- Assisting with department projects as needed.
- Supporting the MAO Project Coordinator in the execution of day-to-day tasks and special projects, as needed.
- Working with members of the Managing Attorney's Offices to:
- Assist with hiring and onboarding procedures.
- Search for and extract information from court-related databases, websites and relevant docketing and calendaring applications including, but not limited to, PACER, Bloomberg Law, Court Alert and Westlaw.
- This position involves significant contact with lawyers, court and clerical staff and requires solid interpersonal, verbal and written communication skills.
- Ability to interact effectively and professionally with all levels of personnel, including attorneys, co-workers and administrators.
- Creative thinker who is proactive and solution driven, with a resilient and collaborative approach to problem solving.
- Must be a self-starter with a high level of self-motivation and autonomy, including ability to manage time and work independently, under pressure, while exhibiting extraordinary attention to detail.
- Ability to work both independently and with a team, and to manage resources effectively.
- Must be flexible to respond quickly and positively to shifting demands and able to work under tight deadlines.
- Ability to quickly develop a mastery of the firm's processes and departments, and proficiency in the firm's software applications.
- High level of integrity and discretion in handling confidential information.
- Ability to work overtime as necessary.
- Bachelor's degree preferred.
- 3+ years of legal secretarial experience in a law firm or professional services environment, performing complex administrative tasks and projects.
- Highly skilled in Microsoft Office Suite.
Compensation & Benefits:
The annual compensation range for this position is $60-75k. The salary offered within this range will depend upon qualifications and other operational considerations.
