The Office Services Associate plays a key role in delivering essential daily back-office support, ensuring high-quality service to our clients and internal teams. Core responsibilities include both physical and digital reprographics, copy and mail services, and providing additional support in hospitality, facilities, audio/visual, reception, and other business-critical functions as required.
Key Responsibilities:
· Accurately document all workflow using designated service logs.
· Complete job tickets before commencing tasks to ensure accuracy and quality. Execute office services, primarily in reprographics, mail, and intake, according to company standards and protocols.
· Prioritize and manage workflow to meet contract deadlines for all assignments.
· Effectively communicate with supervisors and clients regarding project status or deadline concerns.
· Troubleshoot basic equipment issues and ensure machines are properly loaded and maintained.
· Perform regular quality assurance checks on one's work and work of team members.
· Safely lift up to 50 lbs. on a regular basis as part of essential duties.
· Answer phone calls and emails and place service calls when necessary.
· Provide courteous and detail-oriented customer service, in person, by phone, and electronically.
· Consistently adhere to company and client site policies and procedures.
· Promote a cost-efficient approach when using office equipment and supplies.
Requirements
· High school diploma or equivalent required.
· Minimum of 1 year of office services experience, preferably in a legal, banking, or large corporate environment.
· Proficient in using mail, phone, email, digital reprographics, and mailroom equipment.
· Familiarity with general back-office procedures to support and maintain client satisfaction.
· Experience performing light facilities tasks as needed.
· Demonstrated customer service skills to build and maintain strong client relationships.
· Strong written and verbal communication skills, including detail oriented telephone and email etiquette.
· Excellent attention to detail and organizational abilities. Proven ability to meet deadlines and manage multiple projects effectively.
· Capable of handling sensitive and/or confidential documents and information appropriately.
· Able to make sound, independent decisions in accordance with business needs and policies.
· Good problem-solving skills with the ability to escalate issues appropriately.
· Effective team player who collaborates well with colleagues from diverse backgrounds.
· Comfortable working in a fast-paced environment.
· Self-motivated with a positive, can-do attitude.
