They will also assist with the transition to a more digital workflow, which may include scanning, indexing, reformatting records, and improving document organization. Additional responsibilities may involve gathering official records from external agencies or courts, coordinating administrative tasks, and providing general support on various projects as needed.
Responsibilities:
- Finalize and close completed cases by reviewing, analyzing, and verifying all case materials; ensure documentation is complete, accurate, and properly archived.
- Maintain and organize physical and digital files, including sorting, labeling, indexing, and ensuring consistency across record-keeping systems.
- Update and manage entries in the case management platform, uploading supporting documents, attaching notes, and ensuring records meet internal standards.
- Support the transition to a digital workflow by scanning, formatting, naming, and categorizing documents for electronic storage; assist in improving digital file organization processes.
- Perform ancillary administrative tasks, such as obtaining records from courts or external agencies, assisting staff with file retrieval, and supporting general office operations and special projects as assigned.
- Previous experience in legal setting in an administrative support position handling record management, or office operations, with experience in mission-driven (including indigent criminal defense) or service-oriented environments preferred.
- Strong proficiency with common office software, including Microsoft Office (Word, Excel, Outlook) and the ability to learn internal case or document management systems.
- Excellent attention to detail, with the ability to accurately handle large volumes of documents and maintain high standards of organization.
- Ability to manage multiple tasks and meet deadlines, demonstrating reliability, time?management skills, and the capacity to work efficiently in a structured environment.
- Strong communication and interpersonal skills, including the ability to work collaboratively with staff, interact with external agencies when gathering records, and maintain confidentiality of sensitive information.
