The ideal candidate will be responsible for...
- Prioritizing assignments and preparing often sensitive and detailed correspondence
- Proofreading and editing text for grammatical and typographical errors, and occasionally for content
- Managing billing process to include time-entry, data review and correction, and final submission
- Interacting professionally with members of other departments and varied external contacts
- Scheduling appointments, making travel and/or meeting arrangements and maintaining business calendars as instructed
- Effectively establishing and maintaining well organized files, while managing the integrity of original client documents
- Maintaining confidentiality, assuring work product is accurate and presented professionally and making efforts to foster a positive rapport with all internal and external contacts
- 2+ years relevant work experience supporting attorneys or executives in a law firm or corporate office setting
- Advanced use of MS Word (including redlining, advanced formatting, and the use of Styles) as well as an ability to quickly learn other applications
- Intermediate to advanced level skills using MS Office Suite; strong computer aptitude in order to use various Firm-supported software programs; proficiency working with PDF Essentials and eRoom platforms is preferred
- Proficiency in the use of document management systems (iManage preferred)

CORE REQUIREMENTS
Skills & Technical Requirements
- A minimum of two years of related administrative support experience in a fast-paced, high-performance culture; experience supporting partner level attorneys strongly preferred
- Proficiency with MS Office Suite, including advanced use of MS Word (redlining, comparing documents, advanced formatting, TOA creation and manipulation, and insertion of hyperlinks) as well as the ability to quickly learn and adapt to other applications
- Strong computer aptitude to use various features of multiple software programs (including Docu Sign, PDF Essentials, various eRoom platforms, Drop Box, etc.)
- Proficiency in the use of document management systems
- Excellent writing and grammar skills to proof and edit (using edit marks) correspondence, reports, and tables for typographical, formatting errors, grammar, and sentence structure; meticulous attention to detail is essential
- Ability to transcribe legal documents, correspondence and reports from rough draft, dictation, or transcription
- Ability to learn firm software systems for time entry, billing and file storage
- Ability to anticipate issues, find solutions to problems, and manage issues independently
- Ability to effectively organize and present information in various formats
- Strong communication and interpersonal skills to effectively communicate with stakeholders at all levels of the organization
- Ability to interact with clients demonstrating a commitment to service excellence
- Proactive thinker with strong judgment and decision making skills; proven ability to successfully prioritize and meet deadlines with little to no supervision
- Ability to coordinate and manage routine administrative work, such as scheduling meetings, making travel arrangements, preparing expense reimbursements, etc.
- Must be able to work in a fast-paced environment with demonstrated ability to coordinate multiple competing tasks and demands; strong time management skills
