Job Summary
We are seeking a dependable, detail-oriented Mailroom Specialist to support daily mail operations and internal delivery needs. This role is essential in ensuring timely, accurate handling of mail, packages, and courier services, while maintaining strong customer service and secure document handling. The ideal candidate is organized, efficient, and comfortable working in a fast-paced corporate environment.
Schedule:
Monday through Friday, 8 am to 5 pm
Pay: $25/hour

Midtown Manhattan
Key Responsibilities
Mail Processing & Distribution
- Receive, sort, and distribute incoming mail, packages, and courier deliveries.
- Prepare, meter, and process outgoing mail and shipments.
- Maintain accurate logs for all incoming and outgoing packages.
- Verify delivery details, including signatures and tracking information.
- Deliver documents, packages, and materials to internal departments promptly and professionally.
- Coordinate scheduled pickups with courier vendors (Fed Ex, UPS, DHL, local messengers).
- Handle time-sensitive and confidential materials with urgency and discretion.
- Track deliveries and follow up to ensure completion.
- Monitor and replenish mailroom supplies (envelopes, postage, labels, packing materials).
- Operate mailroom equipment (postage meters, scanners, printers, packaging machines).
- Assist with bulk mailings, labeling, and assembly for company-wide communications.
- Maintain a clean, organized, and compliant mailroom environment.
- Respond to employee inquiries regarding shipping, receiving, and delivery status.
- Notify recipients of package arrivals or delivery issues.
- Provide guidance on mailing procedures, shipping options, and timelines.
- Coordinate interoffice pouch or shuttle deliveries, if applicable.
- Assist with document reproduction, scanning, copying, or administrative tasks.
- Support facilities or operations teams with special deliveries, event materials, or document runs.
- Monitor and report mailroom or delivery issues to supervisors.
- Follow company policies for the secure handling of confidential documents.
- Ensure compliance with postal, shipping, and safety regulations.
- Maintain professionalism and confidentiality at all times.
- Prior mailroom, messenger, or office services experience.
- Ability to lift packages and materials as required (typically up to 30-50 lbs).
- Strong organizational and time-management skills.
- Good communication and customer service skills.
- Basic proficiency with computers, scanning devices, and mailroom equipment.
- Reliability, punctuality, and a strong attention to detail.
