Overview

The Compliance Administrator provides administrative support to ensure all projects, subcontractors, and vendors meet company and contractual compliance requirements. This role focuses on contract documentation, insurance tracking, OCIP enrollment, and proper document handling within accounting and project management systems to keep projects compliant and running smoothly.

Responsibilities
  • Contract & Payment Compliance
    • Track and verify that all executed Subcontracts, Purchase Orders, and Change Orders are received prior to issuing payments.
    • Upload executed contracts and related documents into accounting and project management portals (e.g., Docu Sign, Procore).
    • Review and monitor subcontractor Certificates of Insurance (COIs) and bonds for accuracy and compliance with project and contractual requirements.
    • Collect and maintain safety information, prequalification, and onboarding documentation for subcontractors and vendors.
    • Work with Project Managers and the Bidding Team to ensure subcontractors submit all required paperwork prior to starting work.
  • Owner Controlled Insurance Program (OCIP)
    • Set up new projects with OCIP requirements and coordinate enrollment for subcontractors.
    • Assist subcontractors with payroll submissions and other OCIP-related reporting requirements.
  • General Compliance & Administrative Support
    • Prepare and update compliance reports and project summaries for the Director of Administration.
    • Support internal audits and assist in implementing improvements to compliance workflows.
    • Serve as a resource for project teams regarding compliance processes and requirements.
Qualifications
  • 2+ years of administrative, compliance, or construction-industry experience preferred.
  • Familiarity with OCIP, COI requirements, bonds, and contract documentation a plus.
  • Experience with Procore, Docu Sign, and Microsoft Office (Word, Excel, Outlook).
  • Strong attention to detail and ability to manage multiple deadlines.
  • Excellent communication and follow-up skills with internal teams and external partners.
