In this full‑time role, you’ll be at the heart of our residential construction workflow—coordinating permits, managing inspection schedules, supporting materials logistics, and keeping vital documentation on track. Key Responsibilities:- Coordinate permitting processes with local municipalities and track permit statuses
- Schedule and confirm inspections; communicate with building departments to ensure compliance
- Arrange and track material deliveries to job sites, warehouses, or storage
- Pick up and drop off materials, documents, or checks to support field teams
- Maintain detailed and organized records of contracts, change orders, RFIs, and permits
- Track subcontractor documents, including COIs and compliance paperwork
- Support subcontractor scheduling and field logistics coordination
- Prepare and distribute reports, updates, and meeting notes for internal and client‑facing teams
- Assist with invoicing, draw schedules, and payment application documentation
- Set up and maintain project documentation folders and logs using company systems
- Provide general administrative support to the project team including formatting, scheduling, and correspondence
- 3+ years of administrative or coordinator experience in construction, restoration, or related industry
- Understanding of permitting, inspections, and general construction project workflows
- Proficient in Microsoft Office Suite; familiarity with Xactimate, Buildertrend, or similar systems a plus
- Strong organizational and multitasking abilities in a deadline‑driven environment
- Excellent verbal and written communication skills
- Valid driver’s license and reliable transportation for local errands and deliveries
- Ability to lift and load light construction supplies and materials as needed
