We are looking for a Receptionist / Client Service Associate to join our growing team. In this role, you will serve as the first point of contact for clients, managing front desk operations and ensuring a seamless, professional experience from the moment they walk in. This is a full-time, on-site position (40 hours/week) with opportunity for growth and advancement.
Responsibilities- Greet and welcome clients in a professional, warm manner and manage all front desk operations
- Answer and route inbound/outbound phone calls, take messages, and follow up as needed
- Schedule, confirm, and coordinate client appointments across the advisory team using scheduling tools, Zoom, and Microsoft Outlook
- Provide clerical and administrative support including filing, data entry, and document preparation
- Maintain an organized, professional office environment and ensure common areas are presentable
- Assist with client inquiries, account questions, and service requests — escalating to advisors as appropriate
- Manage incoming and outgoing mail, packages, and deliveries
- Support the team with ad hoc projects and operational tasks as the firm continues to grow
- 1+ year(s) of experience in a receptionist, front desk, administrative, or client-facing role
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel), Zoom, and general office technology (printers, multi-line phones, scanners)
- Strong verbal and written communication skills
- Professional demeanor with a client-first approach
- High school diploma or equivalent
- 2+ years of experience in an office or client service environment, ideally in financial services
- Associate s or Bachelor s degree
- Experience with CRM software, document management systems, or scheduling platforms
- Ability to handle confidential client information with discretion
- Familiarity with financial services terminology or willingness to learn
- Starting base salary of $50,000 plus performance bonuses and growth incentives.
