The Secretary/Administrative Assistant is responsible for three key roles:

  • Supporting the Owner-Team and General Manager directly
  • Supporting Department Managers
  • Supporting sales staff
  • Additional benefits include:

    All tasks assigned by Department Managers and sales staff must be approved by the General Manager to ensure fair and effective use of time. The role involves contact with various demographic groups, primarily company customers and employees. Typical duties include:

    • Performing secretarial functions such as preparing confidential correspondence, answering calls, managing schedules, mail, filing, and preparing promotional materials
    • Bookkeeping (a plus)
    • Supporting sales staff with clerical tasks like preparing letters, bids, contracts, typing, and word processing
    • Assisting in preparing for corporate or sponsored meetings
    • Performing administrative duties as directed by the General Manager
    • Monitoring office equipment and acting as liaison for repairs
    • Managing office supplies inventory and providing weekly reports for reordering
    • Serving as backup receptionist

    Job Qualifications include:

    • High school diploma
    • Experience and physical ability to perform clerical roles, including mail distribution
    • Proficiency in Microsoft Office, Adobe Photoshop, SAP, and social media platforms, with ability to quickly learn new software
    • Ability to operate office machines such as computers, typewriters, copiers, fax, calculators, phones, printers, and radios
    • Excellent interpersonal and communication skills, with a professional demeanor
    • Strong proofreading, spelling, grammar, arithmetic, and business writing skills
    • Ability to work under pressure and handle multiple tasks efficiently
