OverviewReporting to the Finance & Administrative Manager for the Faculty of Arts and Sciences (FAS) Dean’s Office, the Senior Administrative Assistant will provide administrative support to the FAS divisional dean. The assistant will draft and disseminate appointment letters, track review approvals, and support deans in the office. The role may also support faculty leave approvals, secondary appointments, and salary letters, and provide external departmental reviews, event planning, expense management, and supply ordering.
PrincipalResponsibilities
- Oversee and coordinate administrative, program, and office activities; establish and implement office procedures.
- Oversee, instruct, and coordinate activities of support staff; prepare materials for grants, contracts, and budgets.
- Provide editorial support for a journal/publication; proofread and edit material for grammatical and factual accuracy.
- Determine administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences; compile, synthesize, and manipulate data.
- Greet visitors, answer and screen telephone calls, respond to mail, and assist with requests for information.
- Format, proofread, and edit correspondence, reports, manuscripts, grants, and other materials; review outgoing material for completeness.
- Coordinate travel arrangements, schedule and coordinate meetings and appointments, order and maintain inventory of supplies, and take minutes or dictation.
Skills and Abilities
- Prior experience providing administrative support; excellent organizational skills and strong attention to detail.
- Demonstrated intermediate proficiency with Microsoft Word, Excel, and Outlook.
- Experience scheduling meetings, coordinating logistics of events, and managing expenses.
- Excellent written and verbal communication skills; proven ability to articulate ideas and communicate clearly.
- Excellent interpersonal skills; ability to work collaboratively and independently.
Skills and Abilities
- Experience planning and supporting events and expense management.
- Prior experience in an academic setting and knowledge of the faculty life cycle.
Education and Experience
Six years of related work experience, four at the next lower level; high school education; or equivalent combination of experience and education.
