Patient Access Coordinator | Tamworth Family Medicine

Under the immediate supervision of the Manager of Patient Access, you will ensure a positive patient experience while working at Huggins Hospital Provider Practices or centralized services in support of the Practices. These two primary core functions with their associated responsibilities will be rotated as per a schedule designed to foster optimal cross coverage.

Scheduling & Appointment Integrity
  • Responsible for scheduling, interviewing and pre-registering all patients utilizing Huggins Hospital Provider Services.
  • Answers all calls in a dedicated Provider Practice relating to scheduling appointments.
  • Possesses the knowledge necessary to properly introduce and share the bios of Providers at each Practice, their operational hours, geographic locations, and assists the patient with their appointment needs.
  • Ensures the patients flow through the scheduling and registration systems as quickly and efficiently as possible.
  • Schedules patients in Allscripts according to the patient's needs at the time of call, aligning appointment selection type.
Registration Integrity & Check In
  • Enters the appropriate demographic and insurance information into Allscripts and Evident to facilitate patient care and appropriate billing procedures.
  • Completes MSP for all Medicare patients and documents all necessary components within the patient chart.
  • Ensures Best Practice is reviewed regularly and processes are followed consistently.
Office Duties
  • Maintains all office machinery, placing service calls when necessary.
  • Maintains a clean, safe office environment and keeps it neat and organized.
  • Performs other administrative duties as assigned.
  • Floats and provides cross coverage across all Huggins Hospital Practices.
Communication
  • Ensures excellent patient service at all times and provides necessary information related to appointments.
  • Accepts and returns patient calls using appropriate telephone etiquette and maintains patient confidentiality.
  • Prepares patients verbally for the use of the Follow My Health Portal and Health Grid functionality.
  • Documents within the patient chart for provider correspondence related to the appointment and/or patient needs.
  • Verifies insurance eligibility and completes coordination of benefits according to the response.
  • Collects co-payments when necessary and handles simple banking, providing payment plans when required.

  • Attendance is an essential job function; employee comes to work daily, on time, and completes scheduled shift.
  • Maintains patient confidentiality in compliance with HIPAA.
  • Contributes to positive team performance through effective communication, active listening, and respect.
  • Builds appropriate interpersonal relationships with staff, patients, and visitors.
  • Practices workplace safety daily.
Employee Engagement
  • Actively participates in all hospital Service Excellence initiatives and trainings.
  • Attends and participates in a minimum of 50% of department staff meetings and signs off on 100% of meeting minutes.
  • Completes all required annual education before the due date.
Knowledge,

Skills and Abilities
  • Minimal physical effort required with occasional light lifting up to 25 pounds.
  • Ability to manage considerable mental stress and communicate effectively.
  • Knowledge of computer systems and other business machines.
Qualifications
  • Prior experience in a healthcare-related institution and demonstrated computer skills.
  • Excellent interpersonal communication skills.
  • Highly detail-oriented.
