Customer Service/RMA Specialist
We are seeking a detail-oriented and customer-focused Customer Service/RMA Specialist to join our team. This role is responsible for managing the Return Merchandise Authorization (RMA) process, providing exceptional customer service, and ensuring smooth coordination between customers, sales teams, and operations.
Key Responsibilities- Process and manage all RMA requests from initiation through resolution, ensuring accuracy and adherence to company policies.
- Provide outstanding customer service via phone, email, and other communication channels to address inquiries, resolve issues, and maintain positive customer relationships.
- Investigate and troubleshoot product issues, working with customers to determine appropriate solutions including repairs, replacements, or credits.
- Coordinate with warehouse, shipping, and quality assurance teams to track returned merchandise and expedite resolutions.
- Maintain detailed and accurate records of all RMA transactions in company database systems.
- Generate RMA reports and analyze trends to identify recurring issues and recommend process improvements.
- Communicate proactively with customers regarding RMA status updates and expected timelines.
- Ensure compliance with warranty terms, return policies, and regulatory requirements.
- 2+ years of customer service experience, preferably in a manufacturing, distribution, or technical environment.
- Previous experience with RMA processes or returns management strongly preferred.
- Excellent communication skills with ability to handle difficult situations professionally and diplomatically.
- Strong attention to detail and organizational skills with ability to manage multiple priorities.
- Proficiency in Microsoft Office Suite and experience with CRM/ERP systems.
- Problem‑solving mindset with ability to work independently and as part of a team.
- Flexibility to work early morning shift schedule.
