Job Overview

The Concierge is often the initial contact and first impression that many people have of Sunrise Senior Living. The Concierge greets potential residents, families, and visitors, manages external and internal calls, and takes and communicates messages. The Concierge provides an overview of community information in support of the Director of Sales (DOS) and Executive Director (ED). The role also supports the Business Office Coordinator (BOC)/HR Designee in community recruitment, data entry, and other assigned general administrative duties, and monitors the Bistro area for refreshments, cleanliness, music, and atmosphere.

Responsibilities
  • Customer Service:
    Oversee the community entry area for visitors, guests, and residents, extend a warm welcome and greeting, offer and provide beverages, and ensure community safety protocols are in place.
  • Coordinate with DOS, ED, or Department Coordinator to meet with prospective residents, families, or visitors and minimize wait times.
  • Greet potential candidates for Sunrise careers and direct them to apply online or capture candidate information in the Applicant Tracking System (ATS) to launch recruitment.
  • Answer incoming telephone calls and resident calls within 2-3 rings with the appropriate greeting and identification.
  • Take complete messages with pertinent information and communicate messages to the intended recipient.
  • Offer and provide a community overview to callers and route them to the appropriate contact.
  • Manage appointments for residents and family members (e.g., hairdresser, transportation).
  • Send get well cards to residents in the hospital.
  • Order Memory Flower for residents who have passed away.
  • Send sympathy cards to families and/or responsible parties as needed.
  • Sales and Marketing:
    Order flowers and name plates for new residents prior to move-in; order guest meals for resident and family on move-in day; create and maintain marketing and move-in packet inventory.
  • Support the DOS by handling initial inquiry calls with potential families and residents and encourage interest in Sunrise.
  • Assist the DOS with CRM lead tracking database entry, if applicable.
  • Perform other administrative duties pertaining to the resident move-in process.
  • Front Desk and Bistro Areas:
    Keep desk and entry area neat and organized; monitor Bistro for cleanliness; ensure coffee, fruit, popcorn, and other snacks are available; maintain and clean the popcorn machine daily; restock as necessary; keep music playing; ensure another team member covers the front desk when stepping away to complete duties.
  • Risk Management:

    Partner with the community to ensure compliance with national/provincial regulations for health and safety; promote risk management programs and adhere to safety rules; practice safety procedures including PPE, fire extinguishers, SDS, and Lockout/Tagout.
  • Maintain the Resident Roster, Team Member Roster, and current work schedules for emergencies; champion Safe Leaving Program and ensure resident safety; respond to emergencies per Sunrise policies; manage guest/sign-in processes; maintain a high-risk elopement list with photos at the front desk; monitor entry/exit of residents.
  • Administrative:
    Update resident phone list and roster daily; manage move-in/move-out registers and guest sign-in logs; prepare meal tickets and tally meal counts; collect meal ticket money and process according to internal controls; organize and distribute mail and newspapers; post the Daily Menu; maintain resident forms for credits; assist the BOC/HR Designee with recruitment data entry and other duties; monitor and order office supplies;

    track and disperse team member paychecks.
  • Training and Team Success:
    Actively participate as a team member; demonstrate our Team Member Credo; commit to serving residents and guests through Principles of Service; contribute to engagement programs and surveys; attend regular meetings; maintain compliance with required training; perform other duties as assigned.
  • Core Competencies:
