SUMMARY

The Sales Coordinator provides customer service, administrative, order entry, financial oversight, and clerical support to the sales department. This position requires initiative and the ability to prioritize tasks. Assists Account Managers with daily sales activities in order to maximize the effectiveness of the Sales Team. Provides backup of Inside Technical Sales.

Salary Range is $60,000 to $75,000 in addition to an excellent benefits package.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • In this role, you will be responsible for the administration, implementation, billing, and management of HVAC equipment projects and accountable for assigned projects’ scope of work, schedule, and budget.
  • Plans and analyzes assigned projects, establishes schedules and project parameters and sets procedures to accomplish system objectives, involving complex equipment applications.
  • Communicates with customers and their representatives, including building owners, mechanical contractors, other trades, subcontractors, and field support staff.
  • Maintains customer satisfaction by investigating concerns, implementing corrective action, and communicating with customers and assigned staff.
  • Compares estimated ship dates with contractors’ project schedule and ensures compliance with internal equipment ordering processes.
  • Responsible for maintaining the accuracy of the forecasted cost at completion and controls expenses by monitoring assigned project budget.
  • Creates and makes revisions to project schedules including: generating tasks, estimates, dependencies, and milestones.
  • Responsible for entering equipment orders, issuing purchase orders, and generating work orders for equipment start-ups.
  • Responsible for project cash-flow management: progress billing, collections support and monitoring, and resource management.
  • Additional responsibilities as required by Sales Team Leader.

MEASUREMENT:

  • Ensure assigned projects are set up accurately and communicate schedules with clients and sales team at 99% or above.
  • Investigate concerns within one business day and communicate progress with clients and sales team.
  • 100% accuracy on forecasted cost at completion and controls.
  • Follow-up on all client inquiries within one day

EDUCATION and/or EXPERIENCE

  • Associate’s Degree in business or equivalent with a minimum of two (2) years of project management, accounting, equipment, HVAC or related experience; OR a minimum of four (4) years of project management, accounting, equipment, HVAC or related experience; or an equivalent combination of education and experience.
LANGUAGE SKILLS
  • Ability to read and comprehend instructions, short correspondence, and memos.
  • Ability to write correspondence.
  • Ability to effectively present information and respond to questions from customers, clients, associates, and company leadership.

MATHEMATICAL SKILLS

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
SAFETY
  • Use and promote safe work practices in the office and in the field
  • Notify Team Leader or Safety Officer of any unsafe conditions
