Responsibilities

The scheduler is the dispatch backup for the operational supervisor for the central dispatch department. All decisions regarding movement of trucks & scheduling rest on their authority to make well-planned decisions and accommodate the customer's needs.

Scheduling: The Scheduler will, throughout the day, continually monitor orders, tracking and scheduling and make adjustments necessary to maintaining service while best utilizing drivers and equipment. They will also keep a watchful eye on the work for the following day and week, ensuring the scheduling graph always reflects the correct availability of trucks and proper delivery times. When the schedule becomes booked, the Scheduler directs everyone in dispatch to the first available time for taking additional orders.

Sick or Late Drivers: An email will be forwarded to the Customer Service/Dispatch Manager when a driver is late or sick, recorded in the Driver Late-Out Log and in the work file in Track‑It.

Tracking: The Scheduler tracks the progress of orders in all dispatch regions and directs truck movement between dispatchers as deemed necessary to maintain service.

Plant Closings: Scheduler confers with the Customer Service/Dispatch Manager and directs dispatch when to close plants because of lack of work, scheduled maintenance, or seasonal closings, and helps reschedule orders to other locations. At night, before leaving, the Scheduler communicates any special mixes, products or considerations that could affect concrete production the next day.

Truck Breakdowns: Drivers contact the Scheduler during a truck down situation. The Scheduler informs the Dispatcher, contacts the shop, emails the Customer Service/Dispatch Manager and Division Manager, and dispatches a Truck Foreman to the site if required.

Accident/Incident: In the event of an accident/incident the Scheduler works with the Dispatcher to notify emergency services, dispatch Truck Foremen or available field personnel, and sends an email to the Customer Service/Dispatch Manager, Division Manager and Safety Dept.

Customer Communication: The Scheduler calls or directs other dispatch personnel to contact customers if there are questions on their orders or if service will be late. They also attempt to call key customers or jobs that could affect the schedule if they haven't already placed or confirmed orders. The Scheduler initiates 5 calls per week to customers regarding their service and logs results.

Safety & Plant Meetings: The Scheduler confers with the Customer Service/Dispatch Manager and schedules all plant and driver safety meetings.

Dispatching: The Scheduler is also responsible for dispatching the day should the Dispatcher be absent for any reason.

Daily "Key Order" Management: Scheduler works with the Dispatcher at the start of the day on a plan to alert Batchmen, Truck Foreman and Drivers of any "Key Orders" flagged by the Quality Control Manager.

CSR/Order Taking: Customer Service Representatives answer the phone promptly with a pleasant tone, take the customer's order in a detailed, timely and professional manner, record accurate delivery and product information, promote "value‑added" products, and repeat the order back to the customer. They negotiate delivery times and foster lasting business relations with customers.

Qualifications & Ideal Skill Levels
  • Minimum high school education and business, logistical and/or communicational training; building industry background desirable.
  • Must be able to multi‑task with excellent organizational and planning skills.
  • Good computer skills with knowledge of current operating systems and office suites.
  • Able to analyze problems quickly and make good decisions.
  • Reliable attendance and work record.
  • Good phone and communication skills.
