Finance Assistant needed
The Finance Assistant supports the campaign’s fundraising and compliance operations, helping the Finance team meet ambitious goals while maintaining accurate records and adhering to all federal campaign finance rules. This role is ideal for a highly organized, detail-oriented team player who can manage multiple deadlines, communicate professionally with donors, and thrive in a fast-paced political environment.
Key ResponsibilitiesFundraising & Donor Support
- Support daily fundraising operations, including call time preparation, scheduling, and follow-up tracking.
- Build and maintain donor and prospect lists; assist with donor research and data updates.
- Draft and send donor correspondence, including thank-you emails/notes, contribution confirmations, and event follow-ups.
- Help prepare fundraising materials such as call sheets, briefing memos, and tracking reports.
- Assist with online fundraising support (e.g., Act Blue, Anedot, email and SMS fundraising workflows) as directed.
Data & Database Management
- Enter and update contribution and donor information in NGP.
- Process and reconcile contributions from events, mail, and online platforms; ensure documentation is complete and organized.
- Track pledges, outstanding follow-ups, and fundraising goals; produce regular progress reports for the Finance Director.
Events & Logistics
- Support fundraising events from planning through execution.
- Invitation tracking and RSVP management.
- Vendor coordination and run-of-show support.
- On-site check-in and contribution tracking.
- Maintain event budgets, guest lists, and post-event reconciliation.
Compliance & Administrative Support
- Assist with compliance-related record-keeping, including collecting and verifying required donor information.
- Maintaining contribution documentation and backup files.
- Supporting the preparation of materials needed for FEC reporting (in coordination with campaign compliance staff/consultant).
- Help track vendor invoices, purchase orders, and reimbursements; support timely payment processing as directed.
- Maintain organized digital and physical filing systems to ensure audit-ready documentation.
- Strong attention to detail and ability to handle sensitive information with discretion.
- Excellent organization and time management skills; ability to meet deadlines under pressure.
- Professional communication skills (phone, email, and in-person).
- Comfort with spreadsheets and basic data tasks (Google Sheets / Excel).
- Willingness to work flexible hours, including some evenings/weekends, especially around events and reporting deadlines.
- Commitment to campaign values and a collaborative team culture.
- Prior experience on a political campaign, PAC, nonprofit development team, or fundraising operation.
- Familiarity with campaign tools such as NGP VAN, Act Blue, Anedot, Action Kit, or donor research platforms.
- Basic understanding of federal campaign finance compliance (training can be provided).
