Clerical
Provides professional and effective services for the police department by performing a variety of administrative and receptionist duties. The work schedule is Monday - Friday 2nd Shift (3:00PM - 11:00PM) with weekends and holidays off with the exception of the 4th of July festivities.
- Transcribes, prints, and distributes police records and reports.
- Serves as receptionist for the Police Department including switchboard operations and assisting with Open Records requests.
- Processes and collects payments for police records, fine payment, permit purchase, etc.
- Prepares statistical reports relating to police activities and crime analysis.
- Enters crime mapping information into Geographic Information System (GIS) software.
- Orders and stocks general office supplies for the Police Department.
- Monitors department CCTV security system and officer body alarms.
- Enters data into the police teletype system (TIME) for warrant confirmations and warrant cancellations.
- Maintains accurate record entries into State and National crime reporting databases.
- Monitors squad computer activity and responds to requests for information.
- Performs record red actions from police reports and body camera video.
- Prepares proofs from police reports for the Wisconsin Law Enforcement Accreditation Group (WILEAG).
- Performs all other duties as assigned.
SKILLS AND ABILITIES
- Skilled in organizational, coordination and tracking of records and projects.
- Ability to achieve and maintain TIME system certification upon employment.
- Skilled in machine transcription with typing speeds of 45 words per minute.
- Ability to work professionally with others in order to achieve deadlines for assigned projects.
- Ability to communicate professionally with citizens and assist with requests.
- Ability to work independently and self-motivate.
- Skilled in the use of word processing and spreadsheet programs.
- Knowledge of records management and office procedures.
- Ability to present a positive image of the police department and the City of New Berlin.
- Ability to maintain confidentiality of department records and reports.
High school diploma or equivalent to a General Educational Development Test (GED).
PREFERRED QUALIFICATIONS- Associate's Degree in Administrative Assistant Program or related field, or minimum of 5 year’s clerical experience.

- Light work, exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
- Frequently use a computer. Manual dexterity for use with data entry, typing, filing, writing.
- Occasionally may be required to ride in a vehicle.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
ENVIRONMENTAL REQUIREMENTSThe work environment characteristics described here are representative of those an employee encounters while performing the essential functions of the job. The employee:
- Primarily works in a general office environment, directly adjacent to the Police Department.
- Routinely uses a computer/device and standard office equipment (phones, copiers, cabinets).
- Frequently exposed to varying noise levels and multiple interruptions.
- Rarely exposed to blood borne pathogens and communicable diseases.
- Occasionally communicates with argumentative/disruptive individuals.
The noise level in the work environment is usually moderate. Duties are performed indoors and rarely outdoors with the potential for exposure to outside weather conditions.
