Event Manager / Planner
Location: Incline Village-Crystal Bay
Hyatt Regency Lake Tahoe is seeking a highly organized and relationship-driven professional to join our Sales & Events team as an Event Planning Manager
. This position plays a critical role in creating memorable experiences for our group, social, and corporate clients by managing event details from the time of contract through final execution.
This individual will work directly with clients, internal departments, and vendors to plan, coordinate, and execute a variety of events — from conferences and galas to social gatherings and offsite activities. The ideal candidate thrives in a fast-paced environment, values collaboration, and takes pride in delivering seamless service from start to finish.
Key Responsibilities- Serve as the primary point of contact for clients after a contract is signed, managing all aspects of event planning and execution
- Collaborate with Sales, Banquets, Culinary, and other hotel departments to ensure operational success
- Create event orders (BEOs), diagrams, and detailed timelines
- Conduct pre-conference meetings and post-event follow-ups
- Communicate changes and special requests promptly and accurately
- Ensure billing accuracy and timely processing of final charges
- Maintain thorough records and data within the event management system
- Provide exceptional customer service and build long-term client relationships
- A true desire to satisfy the needs of others in a fast-paced environment
- Refined verbal and written communication skills
- Candidates should be extremely detail-oriented, organized, and capable of managing multiple priorities
- A minimum of 1–3 years of hotel event sales or event planning experience, or comparable industry experience, is preferred
- Proficiency in general computer systems and Microsoft Office required
- Preferred:
Two years of hotel experience or completion of an Event Management trainee program - Preferred:
Completion of Hyatt’s PSS (Process & Skills System) or equivalent training
