Office Administrator

Location: Needham, MA (100% Onsite)

Schedule: Monday–Friday, 8:30 AM–5:00 PM (40 hours/week)

Compensation: $20–22/hour

Type: Contract-to-Hire

Start Date: ASAP (pending background check and drug screen)

We are partnering with a well‑established, private investment and family office organization in Needham, MA seeking a highly organized and proactive Office Administrator to join their team. This is a fully onsite role supporting daily office operations in a professional, collaborative environment.

This opportunity offers strong long‑term potential, with room for growth upon permanent conversion.

Key Responsibilities Administrative Support
  • Provide day‑to‑day administrative support to various departments
  • Prepare reports, manage correspondence, and maintain organized filing systems
  • Handle highly confidential documents with discretion and professionalism
Reception & Communication
  • Serve as the first point of contact for visitors
  • Answer and direct incoming phone calls and email inquiries
  • Maintain a polished, professional presence
Scheduling & Coordination
  • Schedule meetings and coordinate calendars
  • Organize conference calls and internal events
  • Ensure smooth logistical arrangements
Data & Office Management
  • Maintain office databases and records with accuracy and confidentiality
  • Support internal communication and information flow across teams
Qualifications
  • 2+ years of experience in an administrative or office support role
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Highly organized with strong multitasking abilities
  • Professional, personable, and adaptable demeanor
  • Ability to manage sensitive and confidential information
  • Comfortable working fully onsite in a structured environment
