Location: Orchard
Logistics & Shipping Executive (Japanese speaking / JLPT N3)
We are seeking a Logistics & Shipping Executive to oversee international shipments and establish inventory control procedures.
This role is responsible for ensuring smooth cross-border logistics, regulatory compliance, and defining stock control standards for the Operations team to execute, working closely with Purchase, Sales, and Finance.
Key Responsibilities- Manage and coordinate domestic and international shipments (air freight, courier, forwarders)
- Prepare and review shipping documentation (commercial invoices, packing lists, AWB, customs declarations)
- Ensure compliance with Singapore and destination-country import/export regulations
- Liaise with freight forwarders and customs brokers to resolve clearance issues
- Monitor shipping performance, cost, and timelines
- Maintain up-to-date knowledge of international shipping requirements and trade regulations
- Design and implement stock control policies and SOPs
- Define inventory handling procedures for high-value goods
- Establish reconciliation and reporting standards for the Operations team
- Set cycle count and stock verification guidelines (execution handled by Ops team)
- Review stock discrepancy reports and recommend corrective actions
- Ensure proper record-keeping for audit and finance purposes
- Implement controls to minimize loss, damage, or compliance risks
- Identify gaps in logistics and warehouse processes and recommend improvements
- Diploma or Degree in Logistics, Supply Chain, International Trade, or related field
- 3–5 years of experience in international shipping and logistics
- Strong knowledge of import/export regulations and customs procedures
- Experience dealing with freight forwarders and cross-border shipments
- Experience designing SOPs or control frameworks is an advantage
- High integrity and attention to detail
- Japanese language proficiency (minimum JLPT N3 level required)
- Able to communicate with Japan HQ and management
- Experience handling high-value goods (luxury, jewelry, precious metals)
- Familiarity with international trade compliance requirements
- Strong understanding of international shipping compliance
- Process design and governance mindset
- Risk awareness and control-oriented thinking
- Clear communication and coordination skills
- Accountability and reliability
