SUMMARY

The Grant Administrator has the primary responsibility to oversee the administration of the Tribe’s grants and P.L. 93-638 Contracts, including ensuring accurate and efficient collection and reporting of grant/contract data, maintenance and oversight of workflow processes and procedures, and grant/contract compliance.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Perform all activities to assist in the preparing, managing, tracking, and submitting of grant proposals for various government agencies and re-contracting for P.L. 93-638 contracts on behalf of the Tribe.
  • Maintain current Reporting Matrix and timeline to reflect all grant/contract reporting to ensure reports are submitted on time.
  • Work with the Program Director and Finance to track expenditures, deliverables, compliance, and other grantor reporting needs, deadlines, and action items.
  • In coordination with the Finance team, ensure grants are set up properly and match/cost-sharing requirements are fulfilled.
  • Ensure Program Directors follow the OMB Uniform Guidance and follow the Tribe’s Procurement Policy.
  • Prepare and maintain records digitally and in files to monitor all grants and P.L. 93-638 contracts Notice of Awards, contracts, reports, correspondence, budget modifications, and funding drawdown information for annual audit compliance.
  • Provide monthly grants reports to Program Directors to review expenditures, advise on post-award spending, check-in on grant deliverables, and oversee compliance.
  • Assist in budget and scope modifications by advising Program Directors on proper procedures to follow for changes and modifications.
  • Prepares, maintains, and submits documentation for funding drawdowns.
  • Develop and communicate reports to the Chief Financial Officer supporting project status; create effective forecasting and decision aides.
  • Responsible for grant closeout; submit final reports and certificates.
  • Compile information and documents needed for audit inquiries.
  • Track current grant cycles and renewal processes and ensure stewardship to guarantee continued funding.
  • Generate grant opportunity summaries and present to the Grant Administrator Supervisor to ensure the potential grant aligns with the long-term plan for the community prior to applying.
  • Collaborate with Program Directors to create compelling grant proposals and funding requests, taking lead on Tribe's larger grant opportunities.
  • Write and assemble most or all sections of each grant proposal, with key input from Program Directors and other staff.
  • Coordinate with relevant staff in order to solicit timely and appropriate input/review of grant proposals prior to submission deadlines.
  • Review guidelines for all foundation proposals and reports to make sure all submissions are accurately formatted and include all required information, including budgets and materials.
  • Participate in grant kick-off meetings for proposals accepted with the Program Director, and Finance.
  • Other duties as assigned.

EDUCATION AND/OR EXPERIENCE
  • Bachelor’s degree in related field with a minimum of two years of related experience
  • Experience in tribal governments, tribally-led organizations, foundations, nonprofits, or the private sector, highly desirable.
CERTIFICATES and/or LICENSES
  • Possess a Valid Driver’s License
KNOWLEDGE, SKILLS, AND ABILITIES
  • Advanced knowledge in Microsoft Suite.
  • Strong logic, analytical and problem-solving abilities with solid understanding of grants management.
  • Solid planning and organizational skills with high attention to detail, accuracy, protocol and deadlines.
  • Ability to take initiative and develop solutions quickly and effectively.
  • High level of discretion in maintaining confidentiality of sensitive materials and issues.
  • Exhibits a positive attitude and professional demeanor.

Must pass background check and pre-employment drug screen.
