Responsibilities
- Co-ordinates all administrative matters within CPU and other departments on purchases and contracts.
- Checks and ensures that all EAF and Purchase Requisition are in proper order as per the SOP before any purchases are made.
- Raises and signs POs.
- Conducts CPU’s bi-monthly meeting on Group basis.
- Spearheads project-specific order fulfilment requirements within committed timelines and margin requirements.
- Calls for tender for the following:
- Perishable items
- Provisions and sundries
- Wines, spirit and beverages
- Obtains competitive quotations for other purchases such as printing requirements, room amenities, etc.
- Sources new products for cost effectiveness.
- Updates all prices for all items in CPU system.
- Negotiates for the best quality at the lowest price.
- Sources products and services as and when required by the various departments.
- Negotiates with external vendors to secure the most advantageous terms for all items.
- Monitors market trends and prices for all products.
- Negotiates for reserve stock with suppliers to avoid a no-stock situation.
- Monitors banned products (temporary or permanent) by the relevant authorities and sources substitute products whenever possible.
- Ensures the smooth and efficient operation of the department.
- Ensures that all office equipment is serviced.
- Ensures that the SOP is strictly adhered to by all staff.
- Tracks purchase progress.
- Liaises with Accounts Payable Department to ensure accurate and timely payment of invoices, as necessary for the business with the supplier.
- Diploma or Degree in Business Administration, Supply Chain, Procurement, Hospitality Management, or related field.
- Minimum 2–5 years of relevant experience in purchasing, procurement, or supply chain operations.
- Strong knowledge of sourcing, tender processes, and contract management.
- Good negotiation skills with ability to secure competitive pricing and favourable terms.
