Location: Orchard

This role demands a high level of confidentiality, discretion, and the ability to manage multiple tasks and projects with accuracy and efficiency. The ideal candidate will have exceptional organizational skills, a keen attention to detail, and the flexibility to manage an ever‑changing schedule and diverse set of responsibilities.

Key Responsibilities Administrative Support
  • Manage and organize the Client’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prepare for meetings, including setting agendas, taking minutes, and following up on action items.
  • Handle correspondence, emails, and phone calls, ensuring timely and professional communication.
  • Maintain and organize files, records, and documents, both physical and digital.
Business Support
  • Assist in the ideation, planning, and execution of business startups.
  • Conduct market research and prepare feasibility reports for new ventures.
  • Coordinate with external vendors, clients, and partners as necessary.
  • Handle basic financial tasks, such as expense tracking and invoice management.
  • Manage scheduling and logistics for business‑related meetings, events, and site visits.
  • Support hiring of employees.
Travel & Lifestyle Coordination
  • Plan and coordinate travel, including flights, accommodations, ground transportation, and itineraries.
  • Ensure all travel arrangements are seamless and accommodate the Client’s preferences and requirements.

Personal Assistance
  • Assist with personal tasks and errands as needed, including shopping, event planning, wardrobe management, and household management.
  • Liaise with household staff, vendors, and service providers to ensure all personal matters are addressed. Assist with hiring staff in local country.
  • Manage personal projects and initiatives, ensuring deadlines are met and goals.
  • Edit photos, manage and organize the Client’s photo library, ensuring easy access and retrieval of images.
  • Assist with business development research, planning and activities.
  • Monitor and manage personal expenses, budgets, and financial records.
  • Coordinate with accountants, financial advisors, and other professionals to ensure accurate and timely financial management.
Event Planning and Coordination
  • Research, plan and organize social and business events, including invitations, logistics, and off‑site coordination.
  • Ensure all events run smoothly and meet the Client’s expectations and standards.
Confidentiality and Discretion
  • Handle all matters with the utmost confidentiality and discretion.
  • Protect the privacy and security of the Client and their family at all times.
Qualifications
  • At least 5 years as a PA or similar role. Experience in startups or business development is a
  • Exceptional organizational and time‑management skills.
  • Strong interpersonal and communication skills, both written and verbal.
  • Ability to manage multiple tasks and projects with accuracy and efficiency.
  • High level of discretion, confidentiality, and professionalism.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Proficiency in photo editing software (e.g. Lightroom).
  • Flexibility to work outside of regular business hours as needed.
Preferred Qualifications
  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Experience in managing luxury travel arrangements and high‑profile events.
  • Familiarity with financial management and budgeting.
